Whitstable Medical Practice are looking for a Patient Co-Ordinator (Receptionist) to join our friendly team at Whitstable Health Centre.
Previous receptionist and administrative experience is required as well as having excellent communication, organisation and IT skills. The successful candidate must also be a team player. Flexibility to cover additional hours for holidays and sickness is also essential.
We are currently looking for someone to work 22 hours per week with the following work pattern: Monday 13:15-18:45, Tuesday 7:45-13:15, Thursday 7:45-13:15 & Friday 13:15-18:45
Main duties of the job
To act as the switch board and be the first point of call for thesurgery, all departments and offices.
The role involves working on the front and back desks, booking appointments and dealing with patient queries over the telephone and face to face.

Job responsibilities
Responsibilities:
* Bookingappointments face to face and over the phone.
* Checkingpatients in for appointments and advising where to sit.
* Receivingand recording requests for home visits, DN visits, telephoneconsultations, and taking messages.
* Givingtest results to patients or chasing up when necessary.
* Completingtemporary resident forms and adding details onto the computer whennecessary.
* Takingrequests for prescriptions and distributing the same.
* CompletingDN referrals and emailing to referral centre.
* Helping toassist with general enquiries.
For GPs and for the Practice:
* Opening,date-stamping and distributing the post external and internal mail.
* Accessingworkflow through Docman and taking appropriate actions.
* Accessingpath links and taking appropriate actions.
* Contactingthe patients on the doctors behalf to arrange follow up appointments,prescription collections, test results etc.
* Orderingambulances as and when required by the GPs for our patients.
* Filingprescriptions and recording in pharmacy book.
* Receivingand recording payments for medicals, insurances, overseas visitors etc andfiling letters from GPs.
* Makingsure there is good supply of, and printing when necessary, PracticeLeaflets, New Patient Questionnaires, Change of Address forms etc.
* Monitoringthe surgeries and clinics.
* Enteringinformation onto and general use of the practice computer.
* Afamiliarity with Whitstable Medical Practice protocols and a part in theirupdating.
* Makingsure the incoming receptionists are notified of all relevant informationand matters outstanding.
* Clearingconsulting rooms and leaving them tidy for the next surgery.
* Makingsure the post tray is cleared every evening.
* Being aware of practice protocols and taking partin their regular updating.
* Otherduties as per doctors instructions as dictated by changes in the nature ofthe Whitstable Medical Practice.
For Visiting Consultants,Health Professionals and Visitors:
* Greetingvisitors and asking them to sign the visitors book, informing appropriatemanagers/colleagues of their presence, and when necessary show or directthem to the appropriate place.
* Addingpatient lists to visiting consultants on the practice computer system.
* Checkingpatients in and directing to the relevant waiting area, making sure youare aware and updated of room usage during each shift.
* Helping toassist patients and visiting consultants with general enquiries.
* Passing oncorrect contact information when patients enquire about external clinics.
* Takingdeliveries or directing to relevant department.
Person Specification
Qualifications
* Minimum Grade C GCSE or equivalent in English Language and Maths or equivalent qualification.
Experience
* Previous experience of reception, administration and general office work.
* Experience of working in a customer service environment.
* Experience of working as part of a team.
* Experience of dealing with the general public.
* Previous experience of working in a primary care setting or NHS.
* Knowledge of EMIS or other clinical systems.
