Are you an experienced and organised works planner with strong computer and admin skills? Do you want a hybrid role which allows 2-3 days at home? Are you able to communicate well with engineers and clients? This is a great opportunity to join a family business with 20 industry experience and reputation across M&E / Facilities Maintenance. The right candidate will be primarily planning works for our team of engineers, ensuring client response times and due dates are adhered to, carrying out administrative tasks relating to reporting and debriefing of works and working as part of a team to deliver excellent customer service to our clients. The role would include travelling to the office 2-3 set days a week and there is the option to work from home the other remaining days. Administrative Tasks Include Logging reactive works tasks via clients CAFM system and updating on progress and completion. Planning works for a team of engineers; responding positively to KPI and SLA. First port of call for assisting engineers with any issues they may have whilst out on site. Liaising with contracts managers to ensure works are scheduled/followed up on efficiently and to avoid bottlenecks in the workflow Sending work orders to Sub-Contractors and liaising with them regarding attendance dates and reports for PPM and Reactive attendances. Ordering materials from suppliers and contacting them to request updates and lead times where required. Taking telephone calls from clients, helping to answer any queries they may have. Assisting team members in a busy shared mailbox. Debriefing jobs ready for invoicing and providing clients with any required certification and reports. Key Skills and Experience Planning and administration experience within the FM or engineering industry. Experience using a CAFM system. Experience in inbox management. Good communication skills when liaising with team members, engineers and clients. Ability to work in a fast paced environment and be able to prioritise workload based on urgency.
