Offer description

To provide an efficient, effective, and high-quality clerical and reception service within designated Health Centres associated with Hillingdon Community Adults and Children's Services.

To act as front of house and receive, assist, and direct various patients, staff, and visitors to appropriate services.

To provide general assistance and support basic administrative needs of the Hillingdon Community Teams located within sites.

The postholder will be expected to work closely and in synergy with the wider Hillingdon Administration service including dedicated Community Administrators.

This role may require working across the clinics sites on a rotational basis, and may include evening and weekend cover.

The postholder may be required to provide short notice cover across the sites for annual leave or sickness.

The postholder may be required to work alone and adhere to local Lone Working Policies.


Main duties of the job

1. Work as part of a team providing reception support, meet and greet, give basic information, and deal with drop-in enquiries courteously.
2. Refer clients to relevant staff/clinics or take messages as appropriate.
3. Have a good understanding of Hillingdon Adults and Children Community Services to provide effective information and advice.
4. Operate the telephone system, handle enquiries, and redirect as necessary.
5. Maintain an effective message taking system, record messages, and ensure they reach their destination.
6. Facilitate booking and use of interpreting or transport services as required.
7. Enter and maintain basic appointment information on the patient information system.
8. Use IT systems as required, following training, to support health centre staff.
9. Participate in maintaining an up-to-date display of health education literature within the reception area.
10. Assist in providing general office support such as filing, shredding, post distribution, and sending.
11. Ensure good Health and Safety practices at all times.
12. Maintain and order general supplies and stock of stationary and clinic supplies as directed.
13. Work in other areas of the trust as required by the service needs.
