Administration Officer

An exciting opportunity has arisen for a driven Administration Officer with strong values to support our Individual Placement Support (IPS) Employment Service. IPS is an evidence‑based employment service integrated into local mental health teams, helping individuals find and sustain high‑quality, competitive employment. Working alongside a Pathway Co‑ordinator, the main function is to provide a proactive and comprehensive administration and secretarial service to the IPS team across all parts of the Trust. You will undertake a variety of admin duties as assigned by the Service Leads/Team Leads. The successful candidate will be based at St Nicholas Hospital, Gosforth and the post is full‑time (37.5 hours), Monday to Friday (9:00am‑5:00pm).
Main duties of the job
* Attend weekly locality‑based meetings, take minutes, and live‑type accurate information into our Electronic Patient record system (some meetings may be in person at other CNTW sites).
* Prepare and take minutes at full service business meetings.
* Monitor and respond to incoming queries and referrals within a busy shared mailbox in a timely manner.
* Work closely with the Pathway Coordinator and manage administrative work together effectively.
* Support recruitment processes.
* Provide administrative support during external and internal reviews.
* Answer incoming calls to our landline and triage these appropriately.
* Manage diaries effectively.
* Type, format and send confidential letters and reports.
* Support data management and capture.
* Other general administrative duties.

Person specification
Essential
* Flexible attitude to cope with fluctuating workloads and occasional requirement to cover other areas in staff absence.
* Strong examples of using IT systems.
* General level of education to O‑Level/GCSE or equivalent.
* Working knowledge of Microsoft applications, including e‑mail communication.
* Ability to maintain and update Patient Information Systems (e.g. RiO).
* Good working knowledge of office procedures.
* Ability to uphold confidentiality at all times.
* Able to prioritise and plan own workload.
* Strong examples of supporting a team through administrative support.
Desirable
* Business Administration Level 2 or 3 qualification.
* Previous experience in a similar role.
* Previous experience of working in mental health or employment‑related services.
* Ability to work autonomously and manage own diary.
