As we embark on this exciting journey, we are seeking a highly motivated and organised Business Support Officer who has worked in a fostering environment. Role Overview The Business Support Officer plays a crucial role in ensuring the smooth running of our agency’s administrative and operational functions. This role involves providing high-quality business support, managing office processes, assisting with compliance, and supporting social workers, foster carers, and agency staff. We’re looking for someone with strong interpersonal skills, initiative, and a proactive approach—someone who thrives in a fast-paced environment and is passionate about supporting foster carers and children. Key Responsibilities Administrative Support Provide day-to-day administrative support, including handling correspondence and preparing reports, letters, and documents. Monitor and manage team mailboxes and work trays, ensuring timely responses. Act as the first point of contact for enquiries from prospective and approved foster carers, social workers, and external stakeholders. Coordinate the production and distribution of fostering information packs. Process applications and referrals for placement requests, liaising with professionals as needed. Track and process statutory checks, medicals, and references for prospective and approved foster carers in line with regulations. Provide administrative support for fostering panels, including document collation, compliance checks, and distribution. Support foster carer annual reviews, ensuring timely completion of documentation. Arrange and support meetings, including scheduling, preparing agendas, taking minutes, and distributing action points. Assist with recruitment, training, and panel processes for foster carers. Compliance & Data Management Ensure compliance with Ofsted, fostering regulations, and GDPR. Maintain accurate records, databases, and case management systems. Assist in preparation for regulatory inspections and audits. Support HR functions, including DBS checks, references, and onboarding. Finance & Procurement Process invoices, orders, and expenses while maintaining financial records. Support procurement processes and financial monitoring as needed. Communication & Engagement Serve as a key point of contact for internal and external stakeholders. Assist in marketing, social media management, and event coordination. Contribute to newsletters, fostering information packs, and promotional materials. General Duties Manage workload effectively to meet deadlines. Promote inclusion and participation of children and young people in service development. Undertake additional administrative tasks or projects as required. Maintain confidentiality and uphold safeguarding standards. Work collaboratively with social workers, foster carers, and senior management. Occasional evening or weekend work may be required to support events or meetings. You will need to demonstrate: Essential Previous experience in an administrative or business support role within social care, fostering, or a similar setting An understanding of fostering services, safeguarding, and regulatory frameworks (e.g., Ofsted, Fostering Regulations). Strong organisational skills with the ability to manage multiple tasks and deadlines. Excellent communication and interpersonal skills. Proficiency in IT systems, including Microsoft Office (Word, Excel, Outlook) and case management databases. Ability to work independently and as part of a team. High attention to detail and confidentiality. Experience handling sensitive information in line with GDPR and data protection regulations. Self-motivated with a solution-focused outlook and a can-do attitude. Able to respond sensitively and appropriately to emotional circumstances Desirable NVQ Level 3 in Business Administration or equivalent experience.
