Role Purpose:
RED Global are currently implementing a new group-wide CRM solution and associated tools to support it's 'end to end' operational processes (Lead to Cash). This new fixed term contract position will join the project implementation team to ensure that future processes, procedures, systems, documentation and working practises are aligned, optimised and adopted across the business.
The role holder will be responsible for working cross functionally within the wider organisation to ensure that business processes are reviewed and aligned to deliver efficiencies presented by the introduction of a new CRM solution.
This is a hybrid role with two main elements:-
1. Business Analysis – working cross functionally to define and document 'to be' processes and practices which deliver efficiencies as a result of implementing a new CRM solution, creating detailed gap analysis from 'as is' to 'to be' in preparation for communication, supporting user acceptance testing and training
2. Change Management - focusing on the areas of engagement, communication, resistance management and adoption for the project as a whole
The role holder will be required to quickly gain an understanding of the RED Global's culture and current operating model (and regional/sector variations) at a detailed process level. This will focus mainly be on front office functions (sales and delivery) but must also factor in the needs and requirements of supporting back-office functions (legal, compliance, marketing, pay/bill and finance). There will be a need to gain an informed understanding of the specific needs and issues which the CRM project is seeking to address and the expected benefits which support the business case for change.
Key Responsibilities:
* To identify process improvement opportunities arising from the introduction of the new CRM solution and associated tools/integrations and which may impact upon day to day user working practices of the business
* To document proposed changes and provide support materials to assist Project Board members to make decisions
* To consult with internal stakeholders (across all markets/sectors and business functions) seeking to understand specific challenges and cross functional needs when developing change proposals
* To facilitate stakeholder 'buy in' and adoption once operational/business processes/working practice changes are agreed by the Project Board
* Develop a library of cross functional 'to be' process documentation to support the introduction of a new IT business solution and work closely with the System Trainer to create process and system training materials.
* Collaborate with project workstream leads to support user acceptance activities including developing test scenario materials where processes, documentation and cross functional interaction are impacted
* Analyse, identify and assess areas of organizational change arising from the project (both system and process based)
* Create and implement change management strategies and plans.
* Collaborate with project workstream leads to integrate change management activities into overall project activities and communication plans.
* Working with and co-ordinating the activities of identified Change Champions within the business units to increase engagement and achieve successful adoption of new standard processes and systems
* Conduct impact analyses and assess change readiness throughout the project lifecycle.
* Create content & input to the Communications Workstream to secure change readiness and adoption
* Monitor and measure effectiveness of change initiatives.
* Identify and manage anticipated resistance to change.
* Undertake Post Go Live assessment of process and system adoption including review of business case benefits realisation
* Support and engage with all levels of the business senior leaders, team leads and end users as necessary.
Key Requirements:
Essential-
* Proven change management / business analysis experience in a sales environment preferably recruitment or professional services
* Experience of business processes mapping, identification & documentation of 'to be ' processes
* Experience of developing test scenarios to support process & operating practice changes
* Experience with change management principles, methodologies, and tools
* Experience with project management approaches, tools, and phases of the project lifecycle
* Ability to understand the practical implications of technical decisions and identify potential benefits and issues in relation to operational activities
* Ability to deploy excellent interpersonal skills effectively when proactively engaging with Stakeholders from different business areas who have competing priorities/needs
* Ability to recognise and deal with resistance to change
* Excellent communication skills, both written and verbal
* Strong organisational skills and ability to manage multiple tasks simultaneously.
* Flexible and proactive approach with a willingness to learn and adapt.
* Problem-solving skills with the ability to propose changes which will accommodate competing and complex needs of different business functions whilst achieving the 'best' result for the whole organisation.
Desirable-
* Operational experience as a recruiter, account manager etc.
* Understanding of information security and data privacy best practices.
* Understanding of tools adopted within the recruitment industry which support business development, sales, marketing, search, delivery, compliance, pay/bill and finance
