Overview
Breast Receptionist and Administrator role at NHS. The post holder provides administrative and clerical support for outpatient clinics within Breast Services, including front line reception duties. They work as part of a team with clinical staff to deliver a responsive, high quality service to patients and service users. The post holder uses initiative and problem solving as they are the first port of call for patient enquiries and is responsible for the management of appointments and real time data recording. Proficiency in hospital systems including EPIC, eRS, Call Forward, PTS (Transport), Microsoft package, Envoy, CIS2-Spine is required.
Responsibilities
* Reception of clinics using EPIC and Call Forward systems; booking follow-up appointments; communicating delays to patients; maintaining accurate records of patient attendance.
* Ensure patient demographic details (address, post code, GP and ethnic group, contact details, NOK) are checked and updated accurately and promptly.
* Act as a first point of contact for users of the Trust; handle telephone calls and enquiries promptly and efficiently; provide immediate responses and refer as necessary while maintaining patient confidentiality at all times.
* Maintain a tidy, confidential reception desk and waiting areas; support robust follow-up (PIFU) and ensure referrals are closed as indicated by the clinical team.
* Record/update/retrieve data using EPIC/eRS/Call-forward/Envoy and other systems as introduced; liaise with multidisciplinary teams across the Trust and OPD ICT systems.

* Ensure patients leave outpatient appointments with follow-ups booked and pathways updated in line with national RTT rules; understand the 18-Week RTT process and Trust Access Policy and adhere to policies accordingly.
* Reception duties include welcoming patients, booking appointments, communicating delays, maintaining accurate records, and ensuring clinical pathways align with policy.
* Work flexibly on the Breast OPD rota and participate in managing delays and cancellations; support a courteous and efficient service.
Qualifications
Essential
* 5 GCSEs or A level (Baccalaureate) or equivalent
* NVQ Level 3/A level or equivalent experience in Customer Care
* Experience in a customer-focused environment
* Administrative experience
* Ability to work independently, manage and prioritise own workload
* Ability to handle sensitive information with tact and diplomacy
* Ability to work as part of a multidisciplinary team
* Flexibility to organise and respond quickly to changes
Desirable
* Experience using appointment/patient administration systems such as EPIC/eRS/Envoy/Call-Forward
* Commitment to undertaking further study in Customer Care
