Job Title: Legal Receptionist

A well-established law firm is seeking a Professional Legal Receptionist to join a small reception team. Reporting to the Operations Manager, this role provides a key front-of-house function, ensuring visitors and clients receive a welcoming and professional experience and that all telephony and administrative duties are managed efficiently.
The Role
You will be the first point of contact for all visitors and calls, representing the firm with professionalism and courtesy. The role also involves supporting meeting room organisation, refreshments, and general administrative duties to ensure the smooth running of the office.
Receptionist / Front of House:
1. Meet and greet all visitors, ensuring they are seated comfortably and the relevant staff are notified promptly
2. Keep visitors informed if delays occur and offer refreshments where appropriate
3. Ensure all visitors and temporary personnel sign in and are issued with security badges, returning badges when visitors leave
4. Accept deliveries and post, notifying recipients promptly and ensuring items are delivered efficiently
5. Arrange travel tickets and hotel bookings as required
Telephonist:
6. Answer incoming calls and make outgoing calls promptly, connecting callers to the correct recipients
7. Take accurate messages and forward immediately, including caller details and relevant information
8. Coordinate meeting room bookings and maintain meeting room diaries
9. Meeting Room & Office Support:
10. Organise refreshments for meetings, including presentation of sandwiches, drinks, and necessary equipment
11. Ensure meeting rooms are set up appropriately (e.g., theatre/lecture style when required) and tidy before and after meetings
12. Maintain cleanliness and order in the reception and kitchen areas, including stacking and operating dishwashers
13. Order supplies and refreshments, manage petty cash, and pass receipts to the accounts team
14. Prepare daily printouts of meeting room bookings for staff
