We are looking for a Band 3 administrator to join our Specialist Pelvic Health Team. Hours: 22.5 hrs per week (Monday to Friday). Location: Longton Cottage Hospital, Stoke on Trent. Part hybrid working available once fully competent.
Be part of a dynamic, motivated team of administrators and Nurse Specialists. You will play a vital role in supporting service users and ensuring their care journey runs smoothly. The role is integral as you may be the first point of contact by phone and will navigate patients through their appointment pathway, supporting the smooth and efficient running of the service.

Main duties of the job
The successful candidate must have excellent computer skills, strong attention to detail and accuracy, and must comply with our information governance policies and procedures. Experience using the RIO NHS clinical system is essential. You will provide high-quality, person‑centred administrative support, primarily telephone‑based but also face‑to‑face with service users.
Job responsibilities
* Open vacancy only to internal employees of: Midlands Partnership University NHS Foundation Trust, North Staffordshire Combined Healthcare NHS Trust, University Hospitals of North Midlands NHS Trust (inclusive of Black Country Procurement Group and North Midlands and Cheshire Pathology Service), and Staffordshire and Stoke-on-Trent Integrated Care Board.
* Respond to initial enquiries by phone and e‑mail from patients, carers, relatives, GPs, local government, commissioners, and the general public.
* Prioritise own workload to deliver objectives efficiently with minimal supervision.
* Provide comprehensive administrative support, including receiving and processing referrals, sending patient appointment letters, amending appointments, preparing clinic documentation, handling patient information securely, taking minutes, and producing and distributing reports in line with Trust procedures and quality standards.
* Support teams in collating quality assurance information, uploading CQC evidence, and producing complaint reports.
* Maintain and update filing systems, ensuring full electronic storage and retrieval.
* Demonstrate good organisational and communication skills, both verbal and written.
* Work flexibly to cover colleagues during absences.
Qualifications
* Good standard of general education, including English and Maths at GCSE Grade C or equivalent, or functional skills (English and Maths) Level 2.
* RSA Stage III Word Processing / Text Processing or equivalent.
* NVQ/Level 3 Business Administration.
Experience
* Relevant experience in an administration support role, including timely handling of telephone enquiries.
* Experience dealing with sensitive or distressing issues.
* Previous experience of data input.
* Experience using RIO.
