Accounts Payable Assistant
to join our UK Accounts Payable and Global Expense team, playing a key role in maintaining accurate supplier accounts and ensuring the smooth processing of financial transactions across the business.
About The Role
In this role, you'll support the UK Accounts Payable and Global Expense Manager with the full end‑to‑end processing of supplier invoices and expense claims. You'll work closely with internal stakeholders and external suppliers to keep accounts accurate, up to date and compliant with internal controls and VAT regulations. This is a fantastic opportunity to develop strong finance and bookkeeping skills within a collaborative team environment.
Key Responsibilities
* Logging all invoices promptly on receipt and ensuring appropriate authorisation
* Ensuring VAT compliance across all transactions
* Correct allocation of expenses to relevant budget holders
* Accurate input of invoices, with high‑quality narratives to support reporting
* Working closely with cashiers to ensure timely payments under Solicitors Accounts Rules
* Maintaining supplier data including addresses and payment terms
* Liaising with suppliers and handling internal and external queries
* Monthly supplier statement reconciliations
* Preparing and processing payment schedules, ensuring reconciled accounts
* Posting disbursement costs (e.g., searches, copying, faxes) onto the sales ledger
* Paying Experts' and Counsel fees in line with SAR rules
* Reconciling and posting new invoices and fee notes
* Ensuring fee notes are billed promptly
* Managing Pending VAT processes and ensuring accurate quarterly VAT claims
* Supporting the finance team with ad hoc duties as required
About You
We are looking for someone who is proactive, accurate and comfortable working in a fast‑paced environment.
Essential Experience & Skills:
* Basic bookkeeping knowledge
* Experience processing high volumes of transactions
* Strong attention to detail and accuracy
* Confident working to deadlines
* IT literate; experience with CMS Open and Excel is beneficial
* Clear and confident communication skills
Desirable:
* Knowledge of Solicitors Accounts Rules (SAR), though not essential
