We are growing and need dedicated support to manage client relationships, scheduling, and day-to-day operations.
The Role
We are seeking a highly organised and proactive Executive Assistant to support the business owner. This role is ideal for someone who thrives on structure, takes initiative, and enjoys making sure tasks get done. You'll play a key role in managing the diary, keeping projects on track, and ensuring clients receive excellent communication.
Key Responsibilities
* Diary & Schedule Management
* Organise and manage the owner's diary, client meetings, and site visits.
* Send reminders and ensure time is allocated for key tasks and deadlines.
* Task & Project Support
* Track outstanding tasks and follow up to ensure completion.
* Support with project timelines, client updates, and progress chasing.
* Client Communication
* Liaise with clients to confirm appointments and follow up on queries.
* Draft and send professional communications on behalf of the business.
* Administration & Organisation
* Maintain records, notes, and project documents.
* Support with quotations, invoicing, and correspondence as needed.
* Accountability Partner
* Provide gentle but firm nudges to keep the owner focused and on track with priorities.
Skills & Experience
* Previous experience as a Personal Assistant, Executive Assistant, Office Manager, or Project Coordinator.
* Strong organisational and time management skills.
* Confident communicator, both written and verbal.
* Ability to work independently and take initiative.
* Comfortable using digital tools (e.g., email, calendars, task trackers like Trello/Notion).
* Discreet, professional, and trustworthy.
