Job Summary:
We are looking for a Transport Administrator to be a part of our Logistics team. You will be responsible for assisting our management team with all day to day transportation activities. Helping develop efficient transport operations and optimizing the existing strategies will be a part of your job role. You will also be responsible for setting up and supporting all new starters, Managing Team member holiday requests, managing subcontractor invoices, payroll preparation as well as HR processes.
You will be liaising and working with the transport team supporting with vehicle and trailer PMI bookings as well as a focus on driver hours, tachomaster and ensuring our team of drivers are supported for multiple depots.
You will also be asked to work closely with our clients to understand their requirements and accordingly advise them on the vehicle, fuel and trailer charges and check and prepare invoices.
Responsibilities
* Coordinating with the Transportation team regarding transportation planning and strategies
* Reviewing customer requirements and suggesting vehicle types and freight charges (if applicable)
* Ensuring compliance with the safety standards and transportation department SOPs
* Handling any customer complaints and processing the urgent ones to the Senior Management
* Scheduling vehicle maintenance appointments (PMI, MOTS, and Tyres etc)
* Receiving customer requests, and bookings and forwarded them to the relevant teams
* Performing administrative duties such as preparing and maintaining shipment documents, invoices, and logbook entries
* Developing and implementing new and improved transportation procedures
* Managing transportation budget and checking for newer/shorter routes
* Assisting in training new recruits (Ensuring all starter packs are correctly filled out and new team members understand what is expected of them)
* Monitoring refuelling of vehicles (Reporting of fuel usage of each vehicle)
* Focus on invoicing and ensuring the correct charges have been applied
* Administer payroll for employees and resolve payroll errors
* Prepare reports for weekly, quarterly and yearly reviews
* Requesting and collating all PMI and Brake test paperwork from garages ready for Transport manager sign off.
* Ensure adherence to all Evospeed Ltd compliance procedures regarding fleet filing
* Administration, ensuring that all vehicle and trailer files are kept up to date.
* Daily administration of the trailer tracking system, identify trackers which are not working and liaise with all sites to ensure rectification work is carried out.
* Complete the administration of mileage downloads from Tachomaster.
* Checking Pre drive platform to ensure drivers are completing vehicle daily checks accordance with company procedure.

Requirements
* Minimum 2 years of experience in the Transportation Department
* Basic knowledge of supply chain and inventory management
* Familiarity with logistics software and or able to use excel, and word.
* Knowledge of transportation and safety standards
* Excellent organizational and communication skills
* Ability to multitask and work under pressure.
* Ability to collaborate with other team members and departments.
* Excellent leadership and problem-solving skills
* Ability to work at irregular hours and on holidays.
* Ability to coordinate with managers, drivers, and customers.
* Quick decision-making ability
* Familiarity with using GPS and navigation tools.
Holidays – 20 days per year plus 8 Bank Holidays
