We are recruiting a fantastic opportunity for an experienced Senior Trade Mark Legal Assistant to work for our client, a leading European IP law firm based in the City.
As a Senior IP Legal Assistant at the firm you will be required to support Fee Earners in key areas and be delegated tasks which will include:
* Liaising directly with clients and foreign agents and handling all queries
* Filing and recording of assignments and other name/address changes.
* Obtaining and managing owner/applicant signatures, notarisation and legalisation of documents.
In addition your duties will include:
* Handling and co-ordinating trade mark applications.
* Produce high quality, accurate correspondence (email and letters) to clients, agents and patent/trade mark offices (PTOs). These may be standard documents from templates, or amended versions of these, modified as directed through dictation or written instructions from Fee Earners.
* Check and manage your own and Fee Earner’s diary and reminder systems on a daily basis, helping ensure deadlines and key dates are known and action prioritised and taken in advance.
* Conduct regular meetings with Fee Earners to review what actions are outstanding and plan and prioritise both your own and the Fee Earner’s work.
* Maintain Case and Client Files within the Document Management System (DMS)
* Compile/draft official forms, such as those submitted to PTOs.
* Manage own and Fee Earner WIP, by producing Invoice Requests and reviewing/amending draft invoices.
* Take an active role in documenting key processes and keep documented processes current.
* Double checking work processed by others.
* Support and input into project work, including business change and systems projects.
* Monitor and manage email Inboxes – including shared Inboxes, Fee Earner Inboxes, and secure document exchange portals (as used by several clients).
* Prepare cost estimates and forecasts.
* Prepare and check client portfolio reports and once checked, forward to clients.
* Handle enquiries from clients and foreign agents.
* Ensuring details on the CRM system are maintained accurately.
In addition as a senior member of the team, you will be expected to act as a role model assisting in team motivation and mentoring.
To make a successful application you will have
* A minimum of 4 years previous IP / Trade Mark administration experience
* Clear understanding of the trade mark cycle, plus management of formalities requirements.
* Have good working knowledge of Word, Excel, online filing/document submission platforms across relevant IPOs, Outlook, DMS and Inprotech.
* Ideally be CITMA qualified
* Have strong literacy skills and a good eye for detail
* Be able to work under pressure and meet tight deadlines calmly and efficiently
* Have excellent communication skills to liaise confidently with fee earners, clients and all other members of the firm
