Onsite Monday : Friday (9:00am : 5:30pm) Based in Belfast City Centre

As our business continues to grow, we are seeking a highly organised and proactive Finance and Operations Executive join us in our Belfast office, to support the smooth running of our finance processes, contractor administration, compliance requirements, and wider business operations.


About our Role
The Finance and Operations Executive will play a key role in supporting both the financial and operational infrastructure of the business. The position will involve assisting with invoicing, credit control, financial administration, contractor management, compliance processes, and business support activities to ensure the organisation operates efficiently and effectively.

Whilst focusing on our Belfast operation, significant attention will also be given to supporting our growing US business.


Finance Support

Assist the Finance Manager with invoices, payments, and general finance administration. Chase overdue invoices and payments professionally and promptly. Keep payment records up to date and provide regular updates on outstanding debts. Respond to client queries about invoices and payments. Help prepare monthly financial reports and account reconciliations. Support finance projects and other administrative tasks as needed. Ensure finance processes are completed accurately and on time.

Operations and Business Support

Help with the smooth day:to:day running of the business. Coordinate contractor onboarding, compliance checks, and required paperwork. Manage contractor administration and timesheet submissions. Maintain contracts, supplier agreements, and renewal schedules. Keep CRM and internal systems updated with accurate information. Provide operational and administrative support to recruitment consultants. Support improvements to business processes and workflows. Ensure company procedures and client requirements are followed. Assist with general office administration and business support activities.

Systems and Reporting

Maintain operational and financial tracking documents. Update CRM and other business systems as required. Support initiatives that improve efficiency and business processes.

Skills and Experience

Essential

Experience in finance, operations, administration, or business support roles. Knowledge of invoicing, accounts receivable, credit control, or finance administration. Strong organisational skills with the ability to manage multiple tasks. Excellent communication and relationship:building skills. Confidence in contacting clients regarding invoices and overdue payments. Strong attention to detail and administrative skills. Experience using CRM, finance, or business management systems.

Desirable

Experience in recruitment, professional services, or consultancy businesses. Knowledge of contractor administration and compliance processes. Experience supporting reporting, process improvements, and business efficiency projects. Familiarity with reviewing contracts and understanding business risk considerations.
