Purpose of the post:
To undertake reception duties for visitors and services to the Valleys Innovation Site, reducing referrals where possible, by undertaking simple clerical tasks.
To undertake duties flexibly as part of a generic Business Support Team that delivers administrative tasks for the Council.
What you will deliver:
1. To play an active role in the Corporate Business Support Unit
2. To meet and greet visitors, officers and contractors professionally ensuring appropriate registers / logs are maintained
3. To deal with enquiries to agreed processes and make referrals to services on site where necessary
4. To undertake generic business administration tasks such as receipt / dispatch of mail, photocopying, scanning, collation of documents, maintenance of documents and retrieval of information from computerised systems.
5. To undertake typing / word processing / updating of databases as directed by the Business Support Manager
6. To monitor e-mail/ and other in box work, identify actions and responses to relevant response times, with specific emphasis on priority requests.
7. Recording and dealing with all administration aspects of booking the Divisions conference and off-line meeting rooms
8. To liaise with site management on day-to-day repairs and associated record keeping.
