Job overview

Toprovideahighquality,supportive,secretarialandadministration servicetothe Headof Service, and senior management team, for Children and Young People’s Integrated Therapies(CYPIT).Toworkindependentlyandbeaccountablefororganising /prioritising their own workload to ensure deadlines are achieved.

The CYPIT Administrator will work in collaboration with clinical and non-clinical team membersandhaveresponsibilityformanagingtheadministrativeprocessestosupportthe function of the CYPIT service and the service leads. This varies from diary management, minute taking for internal and external meetings, distributing information to CYP teams to ordering clinical and non-clinical supplies.

Aspartof therole,youwillworkwithin adedicated areatofacilitatethesmoothrunningofthe service; ensuring that co-ordinated and streamlined administrative processes revolve around the Head of Service and senior management team.

Main duties of the job

KeyAreasofResponsibility

·Preparingagendasand minutesformeetings andsendingthese out ina timely manner.

·Arrangingface-to-faceorMSTeamsmeetingsasrequested andsendingout electronic invites.

·E-ProcorderingforCYPtherapyteamsasrequired –generalstationeryandsupplies, room bookings, removals, office and medical equipment, external training courses, printed forms, etc.

·Maintainingarecordofordersforfinance purposes.

·Annualleavecalculationsfornewstaffandcalculationsforleaversduringtheyear.

·Bookingin-housetrainingsessions– bookingvenues,takingthebookingsfromstaff, and liaising with trainers.

·DealingwithqueriesfromstaffandoccasionallyfromoutsidetheTrust.

·PrintingofRiOnoteswhenrequestedbythemedicalrecordsdepartment.

Person specification

Education

Essential criteria

1. GCSE Grade C or above / equivalent in English language and Maths
2. A levels / NVQ 3 or able to demonstrate equivalent level of experience in an administration or secretarial capacity

Desirable criteria

3. Previous experience working within Children and Young People, and Competence in using NHS clinical systems
