The Opportunity

Dr. Barbara Sturm is looking for a VIC Executive to join the VIP team on a six-month fixed-term contract.

In this role, you will deliver exceptional, bespoke service for a discerning global clientele. Acting as a trusted point of contact, you will manage one-to-one communications across email, WhatsApp, and phone with warmth, precision, and discretion—whether fulfilling private client orders, resolving product or shipping queries, or coordinating bespoke requests.

Alongside client service, you will gain exposure to creative projects and exclusive global events. Combining organisational excellence, problem-solving skills, and brand ambassadorship, you will help create extraordinary experiences that strengthen client relationships and uphold the prestige of Dr. Barbara Sturm.

What you'll get to do

Client Relations & Operations

1. Manage shared inboxes and respond promptly and professionally.
2. Handle daily private client communications (email, WhatsApp, and phone), including occasional evenings/weekends.
3. Coordinate bookings and special orders with global spa teams.
4. Create GDPR-compliant profiles for Privé members.
5. Oversee product send-outs (written notes, packaging, warehouse logistics, tracking).
6. Maintain Privé stock and ensure supply of products, merchandise, and collateral.
7. Raise POs and manage supplier relationships.
8. Maintain and organise the digital creative archive.
9. Manage global luxury events calendar.
10. Manage brand partnerships tracker.
11. Research new brands, events, and opportunities to strengthen partnerships.
12. Contribute creative “surprise and delight” initiatives.

Creative & Strategic Support

13. Brief creative assets to the internal copy and design teams and manage timelines.
14. Support new product launch strategies.
15. Participate in brainstorming sessions, contributing new ideas.
16. Join calls, take minutes, and share clear action points.
17. Manage small projects, including bespoke corporate gifting initiatives.

Private Events & Brand Representation

18. Support luxury events: invites, schedules, guest lists, and coordinating assets.
19. Assist with venue sourcing and supplier liaison.
20. Curate guest lists, manage RSVPs, and provide exceptional hospitality.
21. Support set-up and on-site execution of events (masterclasses, fireside chats, luncheons, dinners), including with the brand founder. Flexibility for travel and early mornings/late evenings required.
22. Act as a brand ambassador and network confidently.
23. Follow up post-event, including onboarding new Privé members and compiling reports with insights and recommendations.

We'd love to meet you if you have

Minimum two years’ experience in luxury client services, events, or partnerships. Exceptional written and verbal communication skills. Highly organised, with impeccable attention to detail. Discreet, personable, and professional in all interactions. Proactive, entrepreneurial, and solutions-focused, with strong problem-solving skills. Analytical, with experience collating data and reporting on performance and insights. Self-motivated, deadline-driven, and adaptable to changing priorities. Flexible to work some evenings, early mornings, weekends, and to travel as required. Budget-conscious with solid financial awareness. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Teams). Collaborative team player with enthusiasm and initiative. Curious and engaged at the intersection of science, beauty, luxury, and technology.
