About the Role
Pulse is seeking a proactive, organised individual to join our team and gain exposure to different business functions. Your primary focus will be to support the Corporate Functions Team by processing invoices on our accounting software, managing team expense requests and office support tasks such as ordering supplies and organising team events. You will enhance and nurture our culture by organising company events, planning team away days and arranging training activities.
The role requires a strong attention to detail, to be able to work at a fast pace and the ability to juggle multiple tasks.
Key Responsibilities:
* Managing the end-to-end process for accounts payable including but not limited to posting and coding of invoices in a timely and efficient manner, ensuring relevant approvals and sign offs have taken place.
* Responsible for ensuring that the office provides a welcoming, efficient and safe environment for all; keeping it well stocked with supplies, ensuring equipment such as the coffee machine is clean and stocked and that IT equipment is at a good standard
* Making suggestions for, and organising, various company and team events
* Ensuring that the accounts payable and receivable ledgers are reconciled and any discrepancies and followed up and actioned upon.
* Creating new vendors in our ERP, Microsoft Business Central, ensuring the correct tax coding and account posting groups are set up.
* Managing the daily cash process, and then posting the bank payments and receipts to the correct vendor/ customer accounts.
* Ownership of the weekly payment runs ensuring suppliers are paid on time and accurately.
* Ensuring supplier statements are received and reconciled to the AP ledgers.
* Ensuring credit card expenses are submitted correctly
* Liaise with the facilities management team regarding any building work, events and general maintenance
* Prepare meeting rooms for meetings, including setting up any required technology and ensuring refreshments are available
* Supporting the onboarding of new starters such as ordering IT equipment, providing an induction to the office and organising welcome meetings
What you need to succeed
* Experience in a finance or office support role would be beneficial but not essential
* Highly organised, with the ability to multi-task and prioritise workload.
* Demonstrate a collaborative, positive approach with a willingness to help others
* Be a keen problem solver who can propose effective solutions
* Have the ability to work under pressure and to tight deadlines
* Strong communication skills
* Excellent attention to detail
