We're seeking a part-time Office Services Administrator to support the day-to-day operational needs of the Newcastle office, ensuring a safe, comfortable, and well-equipped working environment for colleagues and visitors.

Key Responsibilities:

1. Support the effective running of the office by providing first line assistance for office matters, working with internal teams and external partners to address and resolve issues

2. Manage visitor access and reception duties, welcoming guests and coordinating deliveries whilst ensuring appropriate logging and security procedures are followed

3. Oversee office supplies and refreshments, ensuring stock levels are maintained and orders – including Friday happy hour drinks – are managed efficiently

4. Assist with office and recruitment events, including event set ups and operational support to ensure activities are delivered smoothly.

5. Daily monitoring of the office environment to maintain high standards of cleanliness, safety and upkeep, coordinating with the relevant teams to address any concerns

6. Manage access badge requests and access permissions in coordination with OS London

7. Maintain clear communication with the local team, ensuring office-related updates and issues are shared and escalated where appropriate

8. Carry out monthly office audit and quarterly checks to ensure office operations and safety standards are consistently maintained

9. Provide administrative and coordination support across Office Services activities, contributing to the effective delivery of workplace operations.

Skills and Attributes:

10. Strong communication and interpersonal skills, with the ability to build positive working relationships across teams

11. Proactive and self-motivated, with a practical approach to problem solving and seeing tasks through to completion

12. Ability to multitask and prioritise in a dynamic environment

13. Strong attention to detail, with a reliable and consistent approach to work

14. Good general IT skills, with knowledge of basic Microsoft Office tools an advantage
