The role is central to our purchasing and supply of premium Outdoor products to our valued distributors across the UK. The Job The Sales Operations Co-Ordinator ensures optimal stock levels, plans inventory needs, manages supplier orders, and oversees logistics This role also liaises with suppliers, freight forwarders, distributors and internal teams while leading a small team of sales administrators in daily sales office operations. This role is integral to ensuring the smooth operation of stock and logistics within the company, contributing to overall efficiency and profitability. Salary: CIRCA £40,000 pa Location: Kingstown Carlisle, CA3 0HA - Hybrid working considered for the right candidate. Stock Management and Planning: Monitor stock levels using D365. Extract data into Excel and utilise VLOOKUPs, formulas, and Pivot Tables to analyse past sales and determine order quantities and create forecasts. Plan and manage forward orders, ensuring timely stock replenishment. Forecast stock requirements for various product lines, ensuring continuity of supply over a five-month period. Order Processing and Supplier Management: Generate Call-Off Orders (POs) based on stock levels and place orders with suppliers. Liaise with suppliers regarding product availability, pricing updates, and purchase orders. Process supplier invoices, ensuring accurate payments and identifying tasks for delegation where appropriate. Logistics and Shipping Coordination: Manage worldwide shipping and develop effective relationships with freight forwarders, ensuring smooth, cost-effective order fulfilment. Coordinate with suppliers to obtain necessary shipping documents. Oversee UK and Ireland shipping, evaluating carriers for cost-effectiveness and service quality. Ensure that all necessary import and export documentation is in place for smooth customs clearance. Monitor international shipping timelines, particularly for shipments from the Far East, ensuring value for money and managing cost fluctuations. Cross-Departmental Support: Assist in preparing Cost of Sales reports for pricing reviews and trade price lists. Collaborate with colleagues to enter new products into the system and resolve SKU-related issues. Support the warehouse team by keeping them informed of order and delivery schedules. Provide product information and assistance to colleagues, delegating tasks as necessary. Invoice and Financial Oversight: Review invoices to ensure correct pricing and accuracy of charges. Communicate with suppliers regarding invoice discrepancies and price changes. Stakeholder Communication and Relationship Management: Maintain strong relationships with suppliers, freight forwarders, and internal teams to ensure smooth operations. Respond to inquiries from logistics partners, warehouse staff, and office teams to address any stock or delivery-related issues. other SKILLS, EXPERIENCE AND QUALITIES REQUIRED Essential: Proficiency in Microsoft Excel, including VLOOKUPs, formulas, and Pivot Tables Familiarity with D365 or similar ERP systems. Experience with international and domestic shipping processes, including import/export regulations. Excellent communication and relationship management skills. Attention to detail and ability to resolve discrepancies efficiently. Ability to work independently and manage multiple priorities effectively. Analytical mindset with a data-driven approach to decision-making. Strong organizational and problem-solving skills. Proactive and able to take initiative in process improvements.
