Job Title: - Family Hub Support Officer

Job type: - 3-month

Salary: PAYE - £18.30/hour


Job Purpose

To provide efficient administrative and business support to the Early Help Service, ensuring effective service delivery across Family Hubs. The role includes acting as a first point of contact for families, maintaining accurate records and databases, and supporting operational and reporting activities.


Roles & Responsibilities

1. Act as the first point of contact, welcoming visitors and handling enquiries in a professional and supportive manner.
2. Provide high-quality administrative support, including preparing documents, reports, and correspondence.
3. Maintain and update databases, ensuring all records are accurate, complete, and up to date.
4. Register new families and ensure all service user information is recorded in line with procedures.
5. Generate reports and management information to support service delivery and performance monitoring.
6. Organise meetings, including scheduling, room bookings, agendas, and minute-taking.
7. Support the coordination of building operations, including health & safety checks and reporting issues.
8. Communicate effectively with internal teams, external partners, and service users.
9. Ensure compliance with data protection (GDPR), confidentiality, and council policies.
10. Provide general administrative and team support, including covering for colleagues when required.


Essential Skills & Requirements

1. Proven experience in an administrative or business support role.
2. Strong customer service skills with experience in a public-facing environment.
3. Excellent verbal and written communication skills.
4. Strong organisational skills with the ability to prioritise and meet deadlines.
5. High attention to detail and accuracy in data entry and record keeping.
6. Advanced IT skills, including Microsoft Office (especially Excel) and database systems.
7. Experience in maintaining and managing databases and generating reports.
8. Ability to work independently as well as part of a team.
9. Knowledge of data protection (GDPR) and confidentiality requirements.
10. Flexible, adaptable, and able to work under pressure in a fast-paced environment.
