The post holder will work across 2 sites, covering clerical and administrative duties for both the Adult and the Paediatric Audiology Teams. The Adult Audiology team specialises in assessment and rehabilitation of adults with hearing disorders, while the Paediatric Audiology team specialises in the assessment, diagnosis and management of hearing disorders in children (newborn to 18 yrs of age). The post holder will carry out clerical duties for both departments and will provide an efficient and effective high quality administrative service, covering generating reports and booking appointments. The post holder will be responsible for the ongoing administrative service to support the day-to-day running of the department and for managing their own workload.
* Book new and follow‑up appointments, tracking waiting lists.
* Generate reports using existing journal templates and print/send corrected reports daily to patients, GPs and other professionals.
* Provide reception cover, answer and deal with telephone calls from patients, health care professionals, education professionals, speech and language therapists and other professionals, including dealing with messages left on answerphone or received via departmental email.
* Provide information in response to official and other requests in a sensitive and confidential manner, protecting the security of information where appropriate.
* Book students, school nurses, health visitors and registrars into audiological sessions as part of their observational training.
* Liaise with both administrative and clinical staff to ensure that any problem that arises is resolved quickly and smoothly.
* Log in Choose and Book, liaise with the Head of Service, and book appointments in Auditbase for the referrals accepted when the Principal Clerical Administrator is not in the office.
* Close Choose and Book appointments on a daily basis via the Cerner system when the Principal Clerical Administrator is not in the office.
* Liaise with audiologists and management to ensure that administrative processes are maintained.
* Keep the Hearing Aid Review patient lists up-to-date and alert clinicians to potential breaches in waiting times.
* Liaise with other departments and outside organisations by letter and email on behalf of the audiologists.
* On occasion, take minutes during department meetings and issue minutes to all staff as appropriate.
* On occasion, help send text messages to parents about their future appointments.
* Review incoming mail and action accordingly.
* Have knowledge of various IT systems and maintain databases in line with hospital protocols.
* Help other teams within the service with general tasks such as ordering.
* Perform any other duties that may be required by the Line Manager in line with this post.
