£25,000 - £27,500 per annumPublishing AdministratorSalary: £25,000 - £27,500FT – 35 hours per weekHybrid – London, Kings Cross 2 days a week in officeWe’re looking for a proactive and highly organised Publishing Administrator to provide essential administrative and operational support across our Publishing team, including Editorial, Art, and Production. This is a hands-on administrative role at the heart of a growing team that has evolved from a print publication into a multi-platform hub. It’s an exciting time to join us as we explore new ways of publishing and content delivery learning together and adapting to a dynamic, digital-first environment.While this position sits within the publishing world, this is an administration vacancy, offering the opportunity to gain broad experience in the operations that keep a modern publishing team running smoothly, from scheduling and data management to liaising with freelancers and supporting production processes.Enthusiasm and a genuine passion for publishing are essential. Some previous experience or knowledge of the publishing industry would be an advantage, but most importantly we’re looking for someone eager to learn, contribute, and grow with us as we continue to develop our multi-platform publishing journey.We work in a hybrid way at Saga both at home and in the office. This role requires you to be working from our London office a minimum of 2 days a week, allowing us to collaborate and share success as a business.Role Responsibility• Administrative Support: Coordinate and schedule internal and external meetings, workshops, and calls; handle correspondence; manage calendars; and maintain organised files and records across Editorial, Art, and Production.• Team Coordination: Work closely with stakeholders across departments to ensure efficient workflows and communication throughout the publishing process.• Contributor & Freelancer Liaison: Act as a key contact for freelance writers, picture agencies, and contributors — sending article proofs for fact-checking, sharing PDFs with PR, and facilitating the Coupa payment process (including onboarding, raising POs, and ensuring prompt payment).• Data & Financial Management: Maintain and update databases and records, support with budget tracking, process payments with Finance, and review quarterly accruals.• Meeting & Communication Support: Take minutes during meetings, distribute action points, and monitor reader correspondence (e.g. Editor’s inbox), responding or forwarding as appropriate.• Editorial Assistance: Support the editorial team by collecting book catalogues from publishers, coordinating with the travel business unit on prize draws and copy, and arranging magazine mailings to key contributors.• Reporting & Compliance: Assist with administrative audits (such as the Modern Slavery Audit) and help compile and submit award entries (e.g. BSMEs, PPAs).• General Support: Provide flexible assistance across all publishing functions to ensure deadlines are met and production runs smoothly.The Ideal CandidateWe’re looking for a Publishing Administrator who brings strong organisational skills, initiative, and attention to detail to every task. You’ll thrive in a fast-paced publishing environment, managing multiple priorities while supporting a creative and collaborative team.Must-Haves:• Proven administrative experience, ideally within the media, publishing, or creative industries.• Exceptional organisational and time management skills, with the ability to prioritise effectively and meet deadlines in a busy environment.• Strong written and verbal communication skills, with confidence in liaising professionally with stakeholders at all levels.• Meticulous attention to detail, ensuring accuracy across data, documents, and workflows.• Solid IT proficiency, including intermediate to advanced skills in Microsoft Word, Excel, and PowerPoint.• Experience using content management systems and/or publishing software.• A proactive, adaptable approach, with the confidence to learn new systems and take ownership of tasks.• A collaborative mindset, working effectively across teams and departments to maintain smooth operations.• A genuine enthusiasm for publishing.Desirable:• Previous experience working in an administrative or operations role within a publishing team.Saga Values: Make it Happen, Do the Right Thing, Customer First, Excellence Every Day, Our People Make Us SpecialPackage DescriptionAt Saga we recognise that our people make us special.
