Here at Clarke Energy we are recruiting an Office Administrator to come and join our team. This is a great opportunity with a thriving business and we are looking for someone who can support business admin across the organisation and provide a welcoming service to visitors to our business to ensure everyone has a positive experience.
Responsibilities
* Meeting and greeting visitors, issuing security passes and providing a brief site induction.
* Organising taxis and transportation for staff of, and visitors to Clarke Energy.
* Ensuring that the reception area of Clarke Energy is always maintained to a high standard.
* Managing incoming and outgoing post and delivering to the relevant departments and administration of the franking machine.
* Being the point of contact to the telephone answering service and directing messages to the relevant people. Updating with new starter and leaver information as well as informing of annual leave periods.
* Drafting, formatting, and printing relevant documents for directors and senior leaders as and when required.
* Arranging for the signing of specific documents and couriering various documents as requested by Directors.
* Organisation and preparation for key meetings being held at Head Office and ensuring facilities are ready i.e., refreshments and lunch orders.
* Ensure the office, meeting rooms and kitchen areas are stocked and always maintain a tidy, friendly, professional image.
* As and when required, attending key meetings to take minutes and issuing actions.
* Photocopying and filing appropriate documents as needed.
* Managing calendars for Senior Management Team if required.
* Business event organisation and preparation as and when required, including staff parties and customer dinners.
* Ordering any office supplies and ensuring there is a regular stock of necessary supplies.
* Collating weekly whereabouts for office personnel and communicating to the relevant people.
