The role

The main role of the Appointments Booking Officer is to answer inbound calls from patients and other service users. Following the Trust's guidelines and confidentiality policies, the Appointment Booking Officer will also assist the Specialist Bookers with admin processes associated with clinic bookings and provide effective and efficient administrative support to the Central Booking Office (CBO).

Responsibilities

  • Answer inbound calls from patients and other service users.
  • Assist specialist bookers with admin processes related to clinic bookings.
  • Provide effective and efficient administrative support to the Central Booking Office (CBO).
  • Communicate clearly with patients or other service users and provide information on referral or appointment issues.
  • Respond to queries from colleagues or other staff regarding clinic bookings via email, telephone or in person.
  • Work with the established booking office guidelines and procedures, seeking support from supervisors when necessary.
  • Apply intermediate IT skills and adapt to the IT systems used by Gloucestershire Hospitals NHS Foundation Trust.
  • Handle Central Booking Office admin tasks in line with guidelines and processes.
  • Abide by the Trust's policies and procedures such as confidentiality and data security.

Work Environment

The Central Booking Office currently has over 100 staff, including management, lead supervisors, supervisors, booking specialists, support supervisor and admin & phone team staff. After successful completion of training, there may be an opportunity to work as part of a hybrid rota. Staff will be provided with equipment, subject to having a suitable home set‑up with enough space for a second screen.
