Role Overview:
We are seeking a highly organised, polished, and proactive Office Manager / Personal Assistant to the
Managing Director (MD) to ensure the smooth operation of our London office and provide seamless
executive support.
The ideal candidate will represent the brand and the MD with professionalism, discretion, and warmth,
managing both the practical and administrative needs of the business and serving as a key link between internal teams and external partners.
Key Responsibilities:
Office Management
• Ensure the efficient day-to-day running of the London office.
• Manage stock and ordering of all office and hospitality supplies, including food, water, stationery,
printer paper and ink, pens, staplers, cleaning and bathroom supplies, room sprays, etc.
• Maintain relationships with and manage contracts for key suppliers and service providers
(electricity, gas, wi-fi and phone providers, alarm/security, handyman, painter, repair and
maintenance contacts, and estate agents).
• Liaise with the Accounts Department in Theale regarding all office-related invoices and payments.
• Manage shipping and courier services (FedEx, DHL, UPS, local couriers) and oversee deliveries to
and from the storage facility.
• Coordinate with external partners such as the florist, Cadogan Estate marketing department, and
Kings Road Benefits Card contacts.
• Ensure the office, reception area, and meeting room are always tidy, presentable, and aligned with
the brand’s standards of elegance and professionalism.
• Oversee maintenance and readiness of all equipment (TVs, computer screens, conference
systems, and audio).
• Supervise cleaning staff and ensure the office is maintained to a high standard at all times.
• Organise and professionalise the internal shared drive, ensuring files are logically structured,
clearly named, regularly updated, and accessible to relevant team members.
Personal Assistant to the Managing Director
• Manage the MD’s daily diary, coordinating internal meetings, calls, and external appointments.
• Collect weekly notes and updates from all departments to brief the MD.
• Prepare and circulate agendas, minutes, and follow-up actions for all internal and board meetings.
• Organise and prepare monthly board meetings, including collation and printing of reports,
scheduling attendees, and recording minutes or sessions where required.• Distribute monthly reports from departments and external partners, including PR agencies,
ensuring timely delivery to the MD, department heads, and key team members.
• Manage and distribute weekly performance reports from the digital agency, ensuring the MD and
marketing team are up to date with online performance metrics, campaign progress, and budget
tracking.
• Maintain orderly filing systems for all correspondence, reports, and confidential materials, both
physical and digital.
• Liaise professionally with VIPs, influencers, and key retail or media contacts on behalf of the MD.
• Coordinate internal events, seasonal meetings, and visits from external partners.
• Act as the first point of contact for the MD, handling all communication with professionalism,
clarity, and discretion.

• Tech-savvy, with strong administrative, Microsoft Office, and digital filing skills.
• Calm under pressure, with the ability to multitask across varied priorities.
Qualifications & Experience:
• Prior experience as a PA or Office Manager, ideally within a luxury, fashion, or creative industry.
• Proven ability to manage suppliers, budgets, and office logistics.
• Experience coordinating with PR, digital, or marketing agencies is a strong advantage.
• High level of professionalism, integrity, and reliability.
