Overall Mission The transport Planner delivers the highest quality service in our industry by ensuring all shipments are managed in the most efficient, safest and cost-effective way. He/She acts as the first point of contact for all UK domestic network shipping orders ,enquiries and ensures that the national network department interactions are handled in a proactive and professional manner at all times. Main Contribution Manage the end to end shipment process for research samples, clinical trials medicines and other pharmaceutical and healthcare related products. Maintain comprehensive records of vehicle maintenance and service schedules. Ensure all vehicles are serviced regularly and adhere to safety standards. File and organise all driver-related paperwork, including licenses, certifications, and compliance documents. Operational housekeeping, to ensure the shipping file is updated accordingly including but not limited to PODs, Docstore (internal archiving system) Develop and optimise driver routes to ensure timely and cost effective deliveries. Adjust routes based on traffic, weather conditions, and delivery priorities. Outsource transport solutions that can not be covered in-house Identify and collaborate with strategic partners for subcontracting transportation needs. Manage contracts and performance of subcontracted transport services. Challenging suppliers on costs and obtaining the best possible price for each shipment Liaise with internal departments, such as the Cold Chain and Warehouse teams, to coordinate shipments and packaging. Monitoring shipment progress/update milestone in TMS Communicate with vehicle suppliers, fuel card providers, and insurance companies. Oversee the distribution and usage of fuel cards. Monitor fuel consumption and manage fuel-related expenses. Contest parking tickets and fines as necessary. Ensure timely payment of uncontested parking fines. Ensure all vehicles are insured and that insurance policies are up to date. Handle claims and renewals efficiently. Manage and pay congestion charges and toll fees promptly. Keep accurate records of all charges and payments. Maintain accurate records of drivers' overtime, annual leave, and working hours. Ensure compliance with working time regulations. Work closely with the Cold Chain team to ensure that shipments are correctly packaged and maintained at the required temperatures. Coordinate with warehouse teams to streamline the loading and unloading processes. Interface Internal Sales Customer Experience team Transport team Global operational teams Global vendor management Pricing team Study set up team External Logistics Service Providers Network Partners Customers Outsourced Drivers Required Skills Profile (experience/ education) Educated to GCSE level or equivalent in Math, English and Science Must have experience of working within one or more of the following areas: Cold chain or time sensitive multimodal freight forwarding- Previous experience of Transport Planning/routing is essential Language Fluent in written and spoken English Specific Experience & Knowledge Required Experience with Controlled Drugs, DEFRA imports/exports, CITIES imports/exports, Import/Export Licences Cell and Gene International Logistics Standard (ISO 21973) Compliant with GDP, HMRC (customs import/export regulations), MHRA, IATA, CAA guidelines Knowledge in Dangerous goods regulations Passenger and cargo airlines knowledge Active and passive temperature controlled solutions Shipping paperwork Biological samples shipping experience Cold chain logistics knowledge Clinical Trials logistics awareness Multimodal shipping awareness (air, road, sea, rail) Interpersonal skills Ability to work within a team Customers oriented Solutions focused Communication skills
