AD Fuels is seeking a highly organized and detail-oriented Administrative Support Professional to assist our Transport and Maintenance Department. This role provides essential administrative and co-ordination support to ensure efficient fleet operations, accurate recordkeeping, and smooth day-to-day departmental functions.
Key Responsibilities
* Provide administrative support to the Transport and Maintenance teams
* Maintain and update vehicle, maintenance, and compliance records
* Administration and tracking of various data points managed in spreadsheets
* Assist with scheduling vehicle maintenance, inspections, and repairs
* Track work orders, service logs, fuel usage, and parts inventory
* Prepare internal and client reports, spreadsheets, and documentation as required
* Handle phone calls, emails, and correspondence related to transport and maintenance activities
* Assist with regulatory documentation, inspections, certifications, PMI’s, Tests etc.)
* File and organize digital and physical records accurately
* Support invoicing, purchase orders, and expense tracking as needed
* Perform other administrative duties as assigned
Qualifications & Skills
* 5 GCSE, including English and Maths (additional administrative or technical training is a plus)
* Previous experience in an administrative role; transportation, logistics, or maintenance experience preferred
* Strong organizational and time-management skills
* Proficiency in Microsoft Office (Excel, Word, Outlook, SharePoint); experience with fleet or maintenance software is a plus (TruTac / R2C / Sage Accounting / Microlise / My Asset Passport)
* Excellent communication skills, both written and verbal
* Ability to multitask and work in a fast-paced environment
* Attention to detail and accuracy
* Ability to work independently and as part of a team
