Position Summary:
The Projects Coordinator is required to be passionate about community facing and socially important projects. The Projects Coordinator will have excellent communication skills and will thrive in a fast-paced and agile environment while maintaining a commitment to self-development and ongoing learning and professional development.
The Projects Coordinator will be able to demonstrate commitment to the contributions of the community sector and will have superior organizational, communication, problem-solving, writing, time management, and coordination skills with a strong track record of successfully managing competing priorities against multiple deadlines with diverse stakeholders. The position involves providing project support and coordination, assisting with identifying and applying for project funding opportunities, meeting support and facilitation, assisting with project reporting and other projects in collaboration with the Culture & Community Development Team. This position will be based on 35 hours per week with some evening and weekend work to be expected.
JOB DUTIES:
Responsibilities include, but are not limited to, the following:
* Work effectively with project partners, internal resources and/or third parties/vendors to support projects.
* Ensure projects are delivered on time, within budget, and adhere to high quality standards.
* Track key project milestones, adjust project plans and/or resources, as necessary.
* Prepare relevant status reports for meetings (reflecting schedule and budget), adhere to standards and procedures for project reporting and documentation.
* Ensure effective and timely communication with clients, key stakeholders, and the project team.
* Be committed to the contributions of the community sector.
* Work along side the Culture & Community Development Team with community groups to assist with the preparation of grant applications by assisting with budget development and review, document formatting, compliance with submission guidelines and specific proposal requirements and grant submission authorization.
* Assist with facilitating the progress of proposals in view of established deadlines and agency regulations and assist in the collection of documents necessary to process proposals.
* Review grant applications prior to submission to funding agencies to ensure that the applications are accurate, complete, and comply with all applicable guidelines and regulations.
* Assist with ensuring that all reporting requirements are met.
* Assist with supporting project advancement in order to achieve outlined deadlines and to meet all project requirements to the highest level of satisfaction.
* Other duties as assigned.
SAFETY:
* Adhere to all policies and procedures set forth by the Municipality of the County of Inverness.
* Report to the Director of Culture & Community Development all work situations which are suspected of being unhealthy or unsafe.
* Report to the Director of Culture & Community Development any employee whose on-the-job performance or actions contravenes established safety procedures or work practices.
* Report to the Director of Culture & Community Development all Occupational Health & Safety related injuries or property damage regardless of severity.
* Submit reports on accidents and other hazardous conditions discovered and promptly attend to all hazardous situations.
* Report all near-misses and incidents to the Director
Knowledge & Skills:
* Strong interpersonal skills including the ability to communicate professionally both written and orally and the ability to demonstrate advanced writing and editing skills.
* Willingness to learn in a team-based and collaborative environment.
* Exceptional networking and collaboration skills.
* Strong organizational, time-management and multi-tasking skills.
* In depth knowledge of and experience working with non-profit organizations.
* Demonstrated creativity and flexibility with a capacity to respond to changing priorities.
* Experience in developing and managing budgets and expenditures.
* Familiarization with funding, and operational concerns of community groups and organizations.
* Knowledge of relevant funding opportunities for non-profit sector organizations.
* Proven leadership skills.
Education:
* Certificate, diploma, or degree in a related discipline (e.g. Project Management, Business, Finance, Accounting), preferred.
* Minimum of 1-5 years experience working or volunteering in the community sector, preferred.
* Excellent communication (oral and written) and presentation skills.
* Experience with research, organizing and planning.
* Experience in writing reports, funding applications, and financial claims.
* Intermediate to advanced level proficiency with Microsoft Outlook, Word, Excel, Power Point.
* Reliable transportation and a valid driver’s license.
