Job Summary VEBS is seeking a UK based highly experienced, proactive, and detail-oriented Virtual Executive Assistant to provide high-level support across a range of client services. The ideal candidate will bring a minimum of 5 years’ executive assistance experience, with proven ability to manage multiple priorities and maintain discretion in a fast-paced, client-focused environment. This is a remote, self-employed contractor role, ideal for individuals who thrive on autonomy while delivering premium support services, you can choose to work full time or part time. Duties will vary but may include: Duties Provide executive-level administrative support, including calendar and inbox management, meeting coordination, and document preparation Maintain and update CRM systems, project management tools, and client databases with accuracy and efficiency Support financial administration tasks, such as raising invoices, processing expenses, and liaising with accounting systems (e.g. QuickBooks, Xero) Prepare and manage correspondence, presentations, and reports using Microsoft Office Suite Support marketing and client communications using email management tools and other platforms as needed Monitor deadlines, track project progress, and ensure smooth delivery of client work Maintain confidentiality and professionalism in all client-facing and internal interactions Uphold VEBS’ standards of premium, efficient, and reliable support to clients Experience & Requirements Minimum 5 years’ experience as an Executive Assistant, ideally supporting senior leadership or business owners Proven experience working remotely, with the ability to self-manage, prioritise tasks, and meet deadlines without supervision Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) Experience with a variety of CRM systems, project management tools, accounting software, and email platforms, advantageous but not essential Strong organisational and communication skills, both written and verbal Ability to adapt quickly to new systems and workflows Must be self-employed and responsible for handling own taxes, National Insurance, and compliance obligations Reliable internet connection and suitable home-working setup Must be happy to undergo verification checks, register with ICO, have indemnity insurance and provide references Experience in industries: Finance, Medical, Law, Tech, Travel are advantageous but not required What We’re Looking For At VEBS, we pride ourselves on delivering exceptional support to clients across multiple industries.
