Job Description

To support the Registered Manager in the day-to-day leadership and operational management of the home, with specific responsibility for the oversight of clinical standards, care planning, staff performance, and the overall resident experience. This post will act as Deputy to the Registered Manager and take full responsibility for the home in the Registered Manager's absence. The role combines clinical expertise with operational competence to ensure the home delivers safe, compassionate, person-centred care that meets and exceeds regulatory requirements.

Key Responsibilities

Deputising for the Registered Manager

* Act as the senior decision-maker in the Registered Manager's absence, maintaining continuity of care, staffing, compliance, and operational functions.
* Participate in or lead on internal investigations, safeguarding reviews, complaints management, and regulatory correspondence.
* Support the Registered Manager with the development and delivery of the home's strategic and operational plans.
* Attend provider meetings, regional forums, and represent the service during inspections, audits, or professional reviews.
* Take a lead role in preparing for CQC inspections and contributing to the Provider Information Return (PIR) and service improvement plans.

Clinical Governance & Care Quality

* Oversee and maintain consistently high standards of clinical care and support across the home.
* Monitor, audit, and improve practice in key clinical areas, including medication management, pressure care, infection control, nutritional screening, and palliative care.
* Lead on clinical risk assessments and ensure that escalation protocols, incident reporting, and care reviews are robust and timely.
* Provide professional guidance and supervision to registered nurses and care staff, ensuring a reflective, accountable clinical culture.
* Chair clinical review meetings, multi-disciplinary team (MDT) discussions, and support end-of-life planning where required.

Care Planning, Resident Experience, and Outcomes

* Lead and quality-assure all care planning and risk assessment processes, ensuring documents are person-centred, reviewed regularly, and compliant with best practice and regulation.
* Act as a champion for resident experience, ensuring the voice of residents is heard, their rights respected, and their daily lived experience is positive, inclusive, and meaningful.
* Monitor the consistency and quality of daily interactions and care, ensuring dignity, choice, independence, and emotional wellbeing are prioritised.
* Support residents and families through assessments, reviews, changes in condition, and end-of-life care, offering empathy and clear communication at every stage.

Digital Systems Leadership – Nourish & CoolCare

* Act as the operational lead for the Nourish care planning system, ensuring staff are trained, records are completed accurately, and the system is used to its full potential.
* Monitor the accuracy and quality of digital care plans, fluid and nutrition records and daily entries via Nourish, ensuring real-time care intelligence is visible.
* Support staff in using Nourish to evidence outcomes and regulatory compliance effectively.
* Lead on the use of CoolCare (or equivalent) to manage staffing rosters, admissions, resident occupancy data, and general administration.
* Work closely with the admin and management teams to ensure CoolCare is up to date and used to support operational efficiency.

Admissions, Discharges, and Occupancy Oversight

* Lead the coordination of new admissions, including initial assessments, care planning, room allocation, family liaison, and GP/MDT onboarding.
* Ensure that all discharges (to home, hospital, or another service) are planned safely, with full documentation and appropriate clinical handover.
* Support the Registered Manager in managing occupancy levels and private admissions, contributing to positive first impressions and customer satisfaction.
* Maintain clear and compassionate communication with prospective residents and their families, ensuring a smooth transition into the home.
* Regularly review and analyse data from admissions, discharges, and length of stay to identify trends, challenges, or opportunities for service development.

Leadership, People Management and Team Development

* Line manage nurses, senior carers, and key support staff, providing effective supervision, coaching, and formal appraisal.
* Ensure staff are competent and confident in their roles through observation, reflective practice, and structured clinical development plans.
* Lead on recruitment, induction, and retention activities for care staff in partnership with the management team.
* Promote a culture of professional accountability, open communication, and teamwork.
* Respond promptly and professionally to staffing concerns, sickness management, or conflict, maintaining high standards of staff conduct.

Compliance, Quality Assurance and Health & Safety

* Support the Registered Manager in delivering full compliance with CQC Fundamental Standards, NICE guidance, infection prevention standards, and internal governance protocols.
* Lead or contribute to regular audits across clinical care, care planning, health and safety, medication, nutrition, and documentation.
* Assist in identifying areas of non-compliance and implementing corrective actions.
* Maintain up-to-date and secure records related to incidents, safeguarding concerns, complaints, and resident feedback.
* Ensure the environment is safe, clean, and conducive to high-quality care delivery.
