We are looking for a skilled and proactive PA, with a creative background, to support the founder of an event production firm, that works within the fashion and luxury brand world. Whilst she has years of experience behind her, the founder only launched her business this year and it's already busier than ever. As such she is in need of a calm, super organised and proactive PA to help create order in the chaos and taking things off her plate. There is a loyal and lovely team of 11ppl, including a great office assistant. The founder is looking for someone who loves being a PA and who can make her more efficient, work autonomously, juggle workloads and pre-empt issues for her and who will want to stick with her and join her on the journey as she establishes and grows her business. This role will be a 50:50 split between business sand private PA duties. Duties will include but not be limited to: Executive Assistant Responsibilities: Complex diary management, including planning and scheduling meetings, managing time to best effect for the Founder Organising international travel itineraries; flights, transfers, accommodation etc. Inbox management; prioritising and flagging relevant emails and drafting/responding where appropriate in a timely manner. Acting as gatekeeper / point of contact for the Founder and being her eyes and ears. Sourcing gifts for clients Assisting with the procurement of things needed for certain events such as flowers, gifts etc. Preparing internal and external reports and documentation as needed. Sorting and managing all expenses/invoices. Assisting with business administration. Implementing administrative systems and processes. Supporting with admin across internal operations: HR, facilities, travel budgets etc. Private PA tasks for Founder: Booking personal appointments. Sourcing gifts for friends and family. Booking personal travel. Assisting with management of private property. Handling household bills, car MOTs and services, property insurance renewals etc. Being on top of important annual calendar dates (e.g. birthdays, anniversaries etc). Tracking all important documents, ensuring all is up to date (e.g. passport, driving licence, etc). Ad hoc errands. The ideal person will need to have a minimum of 3/4 years PA experience and have experience supporting at a senior level. Experience working in a creative agency, start up or events firm is a bonus. Excellent written and verbal communications skills are paramount as is strong attention to detail and time management skills. This is a brilliant role for someone who wants to carve out a role for themselves and who is looking for long term growth as a PA alongside an inspiring founder. Candidates must be happy to muck in and be hands on, as is necessary in any start up culture. This role is studio based 4 days per week with 1 WFH.
