Job Overview
This position sits within the Learning and Skills directorate reporting to the Pupil Engagement Casework Coordinator and EOTAS Manager. It will help to drive and deliver the aims relating to the EOTAS Framework for Action within The Vale of Glamorgan Council. We are looking for a motivated and enthusiastic candidate to join our Pupil Engagement team. Key aspects include supporting the engagement manager and casework coordinator in the management of pupil data and daily administrative tasks, liaising with internal and external departments of the council such as school staff, parents, providers and specialist external agencies, and supporting quality assurance and contract meetings. The team develops, coordinates and evaluates a range of EOTAS (Education other than at School) provision for students who require additional curriculum. This role involves the day‑to‑day administration of this provision, recording key data relating to pupils (attendance, attainment, safeguarding, curriculum, etc.) within the education management information system ‘MRI’. Excellent communication skills and working in a trauma‑informed, ACE‑aware manner are essential.
Pay & Working Hours
NJC Single Status – Grade 4, 6‑7; Salary £25,989‑£26,403. Hours of work / working pattern: 37 hrs a week (Monday to Friday), 52 weeks a year (full time). Main place of work: Civic Offices, Barry.
Key Responsibilities
* Liaise with school staff, parents/carers, training providers and specialist external agencies to support schools.
* Work closely with the Pupil Engagement Manager and Casework Coordinator on the daily management of pupil data and administrative tasks.
* Conduct administrative duties on procurement and finance as delegated by the Engagement Manager.
* Produce reports from MRI as requested by senior officers in Learning and Skills.
* Update One and MRI daily or as required by the Engagement Manager.
* Lead on the recording, monitoring and quality assurance of data, including referrals to the Interim and Re‑Engagement Panel (IR Panel).
* Maintain a good working knowledge of all Vale MIS systems, including MRI V4, SIMS, Arbor and other school‑based systems.
* Use new technology as required, such as automated registration systems (ACT) or AV1 bots.
* Ensure young people attend schools and EOTAS learning pathways, using regular attendance checks.
* Manage admissions to alternative providers, ensuring all necessary referral information and forms are completed.
Qualifications and Experience
* Experience and knowledge of internal management information systems such as procurement, Oracle, ICT systems.
* GCSE/O’Level or equivalent.
* Evidence of recent CPD.
* Experience and knowledge of corporate financial regulations – petty cash systems, processes, council systems.
* Experience with audit policy and procedures.
* Experience in general administration tasks.
* Must be a team player and able to work on own initiative.
* Flexible to work to the varying needs of the service.
