Position: Executive Assistant Location: London, UK Salary: Competitive, based on experience Overview We are seeking a highly organised and proactive Executive Assistant with strong writing, research, and project coordination skills to support our growing portfolio of creative and public-sector projects. This role is ideal for someone with experience in bid and tender writing, who can also assist with day-to-day operations, project documentation, and executive support across multiple workstreams. You will be a key part of a dynamic team delivering impactful projects in the creative, cultural, and public art sectors. Key Responsibilities Research and write compelling bids, tenders, proposals, and supporting documents Support the director with executive-level administrative tasks, calendar management, and communications Assist in preparing presentations, reports, and supporting materials for pitches and stakeholder meetings Conduct background research on opportunities, funding streams, competitors, and partners Track tender deadlines and manage submission schedules and documentation Coordinate across teams to gather required information and ensure timely delivery of proposals Maintain and update project timelines, budgets, and shared folders Liaise with external suppliers, clients, and collaborators professionally and promptly Support ad hoc tasks and contribute to a positive, productive working environment General administrative task Email Marketing Team Diary Management Minute Taking Manage Reports Requirements Proven experience supporting bid/tender writing or working in a business development or project support role Strong writing, editing, and document formatting skills Exceptional research and analytical skills Highly organised with the ability to manage multiple deadlines and priorities Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook) Experience with project management tools (e.g. Projct.co and Monday.com) Email Marketing Confident communicator with strong attention to detail Able to work independently and take initiative when needed Knowledge of public sector or arts/cultural procurement is desirable but not essential We’re Looking For Someone Who Is: A strong writer with a clear, professional tone Proactive, efficient, and solutions-focused Comfortable handling confidential and time-sensitive information A supportive team player with a can-do attitude Available to travel or commute within UK.
