COMPLIANCE ADMINISTRATOR
Great opportunity for a Compliance Administrator / Fleet Administrator / Vehicle Operations Administrator to join a growing company.
Location: Manchester area
Salary: £32,000 - £40,000 pa (£13.50 - £17.50ph depending on experience)
Hours of Work: Monday to Friday days
Job Purpose: The Office / Health & Safety Compliance Administrator is responsible for ensuring that the company services operates in full compliance with all health & safety, transport, and regulatory requirements. The role also provides operational and administrative support across workshop, fleet, and office functions to ensure efficient day-to-day running of the business. This is a hands‑on role combining compliance management, operational coordination, and administrative oversight.
Key Responsibilities
Health & Safety & Compliance
* Lead and manage all aspects of Health & Safety compliance across the business
* Maintain and update Health & Safety policies, procedures, and documentation
* Manage non-conformance reporting and corrective actions
* Monitor occupational health requirements and ensure compliance
* Create, deliver, and track toolbox talks
* Maintain and manage the training matrix, ensuring all mandatory training is completed
* Prepare for and support internal and external audits
* Ensure compliance with Operator Licence (O Licence) requirements including:
o Vehicle downloads
o Driver card downloads
o Safety inspections
Fleet & Vehicle Compliance
* Oversee vehicle maintenance schedules, ensuring timely:
o MOTs
o Servicing
o Tax
o Tachograph calibrations
* Monitor and arrange maintenance appointments
* Manage booking in and out of vehicles
* Ensure all vehicle records are accurate and up to date
Operational Administration
* Manage job authorities and job cards
* Update daily work schedules in line with operational requirements
* Create estimates, claims, and strip/assess documentation
* Send estimates to customers and follow up for purchase orders
* Maintain and track outstanding estimate lists
* Prepare invoicing packs and conduct job analysis
Customer & Supplier Coordination
* Act as a key point of contact for customers and suppliers
* Maintain strong working relationships to support service delivery
* Manage and track customer feedback documentation
* Ensure high standards of customer service and communication
Financial & Commercial Support
* Support daily credit control processes
* Prepare and issue monthly statements
* Assist with invoicing processes and financial tracking
* Support wages, cashflow, and bank payments in the absence of key personnel
Other Office, Business Support and Administration
* Manage timesheets and booking amendments
* Ensure accurate recording of working hours and job allocations
* Manage procurement of uniforms, office, and kitchen supplies
* Oversee utility and phone contracts
* Support general business administration and operational needs
* Coordinate seasonal activities (e.g., Christmas cards, vouchers, staff events)
Key Skills & Experience
* Proven experience in a Health & Safety or Compliance role (ideally within transport, fleet, or engineering environments)
* Strong knowledge of UK Health & Safety legislation
* Experience with Operator Licence (O Licence) compliance requirements
* Highly organised with strong administrative capability
* Strong attention to detail and ability to manage multiple priorities
* Confident communicator with the ability to liaise at all levels
* Financial awareness and experience supporting credit control or invoicing processes
* Proficient in Microsoft Office and operational systems
