Position: Administrator

Location: University Hospital Coventry & Warwick - Coventry

Role: Full Time, Onsite

Hours: Monday to Friday, 8:00am - 4:00pm

Here at Mitie we have a brand new opportunity for an experienced and motivated Administrator to join our vibrant team in Coventry!

Main duties:

1. Provide administrative support to the site team, and wider stakeholders, including Mitie Healthcare, and Client teams.
2. Central point of information for office issues, meeting bookings, office equipment and stock.
3. Use content management systems (CMS) to maintain and update websites and internal databases.
4. Manage and maintain budgets and carry out invoicing as required by the Contract manager.
5. Supports the Administration/Office Manager, Finance, Pay Roll & Training teams with transferring of data and duties.
6. Undertakes general administration and filing. Writes letters, takes notes, collates information & producing presentations.
7. Arranges in-house and external events at various times of the year and according to the contract requirements.
8. Prepares, collates and completes data for the site to meet weekly and monthly reporting deadlines.
9. Creates and maintains administrative systems across the site.
10. Communicates effectively with all the teams to ensure there is a seamless way of working across the contract.
11. Responsible for purchases and stock control. Develops processes to ensure all service provisions are captured and billed correctly.
12. Responsible for the delivery of the contract P&L and all related financial reporting to the required daily/weekly/monthly timetable.

What we are looking for

13. Administration experience
14. Has a strong standard of both literacy and numeracy skills
15. Experience using Microsoft office packages. Fully competent in the use of PCs and other types of technology.
16. Has developed excellent written and verbal communication to support them in their role.
17. Fully capable of understanding and maintaining the confidentiality across the site and respecting the needs of all stakeholders.
18. Use a variety of software packages (including Excel, Access and Powerpoint) to manage data and produce documents and presentations
19. Works well under pressure to meet the challenging deadlines
20. Has the ability to effectively plan and manage own workloads, however understands when to ask for support when needed.
21. A team player with strong interpersonal skills and the ability to interact at all levels.
22. Demonstrates a positive 'can do' attitude and can flex their style to meet the needs of the business.
