Housing Coordinator
We are seeking a dedicated and organised Housing & Maintenance Coordinator to join our team. In this role, you'll be responsible for the seamless operation of our housing and maintenance services. From managing property compliance to coordinating maintenance tasks, you'll play a crucial part in ensuring our properties are safe, well-maintained, and ready for our service users.

Key Responsibilities:
* Work Allocation & Reporting:
* Log and allocate all maintenance tasks to operatives across different regions.
* Provide regular reports on maintenance activities and progress.
* Maintenance Monitoring & Procurement:
* Monitor maintenance logs, request additional information when necessary, and close jobs once completed.
* Assist in procuring external contractors, manage welcome packs, conduct compliance audits, collect quotes, and raise purchase orders (POs).
* Property Compliance:
* Ensure all new properties have relevant certificates (e.g., EPC, Gas Certificates) before occupancy.
* Monitor outstanding fire risk assessments and complete monthly housing audits, reporting findings to the Housing Manager.
* Tenant Support & Marketing:
* Assist in preparing and distributing Sign-Up Packs for new tenants.
* Support marketing efforts for void properties and identify required properties.
* Financial Management:
* Raise purchase orders for all housing and maintenance-related invoices.
* Monitor and update the ReMaS system and void property spreadsheets based on weekly BPA updates.
* Repairs & Liaison:
* Assist Housing Officers by following up on repairs and maintenance issues.
* Liaise with landlords on handover dates, repairs, voids, and any housing-related issues, escalating to Housing Officers as necessary.
* Audits & Documentation:
* Audit outstanding Gas & Electrical certificates, fire risk assessments, and post-18 property inspections.
* Create post-18 license agreements, including all relevant details for utilities, housing officer/TSO contact information, and independence welcome packs.
* Order furniture as requested, raise POs, approve invoices, and audit accordingly.
* Additional Support:
* Collect recharge documents for Finance and update centralised systems.
* Assist the Housing Team Lead in investigating housing/maintenance-related complaints.
* Monitor relevant email inboxes, disperse information to the appropriate persons, and update centralised systems as needed.
* Carry out other duties that align with the nature and responsibilities of the role.
Requirements:
* Proven experience working in a busy administrative role particularly within housing or property management.
* Comfortable managing your own workload while collaborating effectively with others.
* Strong organisational skills with the ability to handle multiple projects simultaneously.
* Excellent communication skills, both written and verbal, with a customer-focused approach.
* Proficiency in Microsoft Office, particularly Excel, and experience with property management systems is a plus.
* Understanding of property compliance requirements (EPC, Gas Certificates, Fire Risk Assessments).
* Familiarity with procurement processes, including raising purchase orders and managing invoices.
* Detail-orientated with a commitment to maintaining high standards in all tasks.
* A proactive problem-solver who can anticipate needs and respond efficiently.
