Job Summary
The Arts + Events Coordinator will assist both the Arts + Events and Public Art teams to help deliver a year-round programme of free public events and exhibitions across Canary Wharf. The Arts + Events Coordinator will support the team by ensuring the smooth running of the department offering administrative and office support, as well as taking ownership for coordinating a range of small-scale events from conception to completion. This is a hands‑on role which will involve supporting the team on larger scale events, both in the creative planning stages through to on the ground delivery. This will involve liaising with internal teams as well as external clients, suppliers, agencies and artists.
Salary: Circa £32,000 - £34,000
Working Pattern: 5 days per week in office
Contract: Full-time

The Canary Wharf Arts + Events Department produces and facilitates a variety of public events utilising the public open spaces on the Canary Wharf estate. The varied programme of events ranges from music, film, theatre, outdoor festivals, food market, sporting events and charity initiatives. The Public Art department commissions and promotes a range of public art projects and exhibitions throughout the year as part of the wider Arts + Events programme. They are also responsible for maintaining and promoting Canary Wharf’s collection of over 100 permanent pieces of artwork on the Canary Wharf estate.
The Arts + Events and Public Art departments consists of six full time staff and are supported by consultants, freelance project and technical staff and event crew and stewards.
Main Responsibilities
* To be the first point of contact for all public enquiries and event proposals received though the Arts + Events and Public Art inboxes.
* Create and maintain various departmental databases and calendars.
* Maintain general office systems including coordinating IT requirements, ordering, event related equipment, ordering stationery and equipment maintenance.
* Maintain and update all Arts + Events and Public Art departmental inventories, ordering any new or replacement stock as required.
* To assist with budget management, raise and process purchase orders, invoices and cross charges.
* Assist with financial reports and records.
* Manage the contract with the external stewarding company, book all stewarding requests for the department, creating time sheets for all events, and manage on‑site stewards and supervisors, including training or development needs.
* Coordinate any ticketing activities on ticketed events, run reports on ticketing as required.
* Coordination of small‑sized events as directed by the Arts + Events Manager from research and planning through to completion.
* Cost‑effectively book relevant event infrastructure, content and staff for events as directed by the Arts + Events Manager or Operations Manager.
* Assist the Operations Manager in gathering paperwork and information for larger scale events, including uploading these onto the e‑permit system.
* To be present at all assigned events at build, de‑rig and live event stage as directed by Arts + Events Manager.
* Assist in the coordination of marketing briefs and marketing materials, including management of the department’s poster and digital plans and booking in print and other materials.
* Manage website and app requests for the team, regularly checking and updating the Canary Wharf website and Canary Wharf App with any Arts + Events or Public Art content.
* To carry out and other reasonable duties as requested by Events Manager.
PERSON SPECIFICATION
* Previous experience gained within the arts, events, charity or entertainment sector.
* Good knowledge and experience of Microsoft based computer packages.
* Experience of coordinating or assisting with events.
* Excellent organisational skills.
* Ability to manage multiple projects and priorities.
* A creative eye for design and good attention to detail.
* Experience of budget management or financial filing systems.
* Experience in a public facing role with a commitment to offering excellent customer service.
* Ability to work with limited supervision.
* A proactive and flexible approach to work to get involved in a number of projects both in the office and on the ground at live events.
* Flexible with working hours and work weekends when required.
* Desirable - An interest in the arts or cultural events.
* Desirable – driving license.
