The Role AtVyta, were driven by a commitment to sustainability, security, and operational excellence. As anOperations Coordinator, youll play a pivotal role in supporting the day-to-day operational, logistical, and compliance activities that keep our business running efficiently. Youll help ensure seamless coordination across waste management, travel, logistics, and vehicle compliance maintaining precise records and upholding the highest regulatory and company standards. Operational Support Validate scan lists uploaded to the ERP system, promptly investigating and resolving any discrepancies. Reconcile documentation to ensure all equipment is accurately accounted for. Monitor production queues to ensure service level agreements (SLAs) are consistently achieved, escalating issues where necessary. Maintain a central production priority list across all sites, updating as required based on SLAs and business priorities. Support the timely and accurate resolution of settlement-related queries to maintain excellent client satisfaction. Waste Management & Compliance Maintain detailed records and prepare reports on hazardous waste transfers across Northern Ireland and the Republic of Ireland. Plan, monitor, and document all waste movements between Vyta sites, ensuring full compliance with environmental regulations. Manage the ordering, distribution, and accurate record-keeping of consignment notes. Review and correct Collection Crew and Operations paperwork, identifying recurring issues and implementing corrective actions. Travel Management Coordinate and book travel arrangements for office and remote staff including flights, hotels, ferries, parking, and taxis following line manager approval. Manage weekly travel logistics for Collection Crew and Operations teams, ensuring all arrangements are confirmed and complete. Maintain an up-to-date travel log for compliance, auditing, and reporting purposes. Record overnight stays accurately to support payroll processing. Logistics Coordination Working alongside the Logistics Coordinator, youll help plan, schedule, and ensure the successful completion of collections. Responsibilities include: Liaising with customers to confirm collection details such as parking, site access, and safety requirements. Providing customers with confirmed collection dates and communicating by both phone and email. Ensuring all relevant information is uploaded to the ERP system prior to daily departures. Verifying that driver asset scans are correctly uploaded and reconciled against customer lists. Supporting ad hoc logistics projects and bespoke customer initiatives. Additional Responsibilities Additional responsibilities will involve collaborating with the logistics coordinator and providing support with the following tasks: Vehicle and Driver Compliance Assisting with route planning to optimise efficiency while ensuring compliance with driver hours and Working Time Directive regulations. Scheduling and tracking all vehicle maintenance, MOTs, servicing, and inspections in line with company policy. Coordinating with service providers to address vehicle defects and update maintenance records. Ensuring all driver licences, CPCs, and training certifications remain valid and current. Supporting the management of driver infringements using the telematics system and resolving any data discrepancies. Conducting periodic vehicle security checks and ensuring timely issue resolution. Free onsite parking. Customs Administration Support customs clearance processes for GBNI movements, including TSS entries and GMR creation. Complete and close supplementary declarations using commercial invoice data. Assist with EU customs documentation in line with country-specific requirements. Essential Criteria 1.Strong organisational and multitasking abilities, with the confidence to manage competing priorities. 2.Excellent communication and coordination skills across teams and external stakeholders. 3.High attention to detail and commitment to data accuracy. 4.Proficiency with ERP systems and compliance reporting. Desirable Criteria 1.Working knowledge of Logistics, waste management, or fleet operations. Conditions of Employment 1.Right to Work in UK & EU 2.Satisfactory Security cleared in line with job role. Successful candidate may require Access NI Check & Staff Vetting 3.Evidence of qualifications as required within job role. 4.Satisfactory References, one being from your most recent employer. 5.Satisfactory Health Declaration. All offers of employment are subject to satisfactory references, Access NI criminal record check and successful security clearance, BPSS security clearance and successful credit reference clearance in line with BS 7858 requirements and ISO 27001 audits.
