Walhampton School is seeking a highly organised and enthusiastic Registrar to join our busy school. This is a key front‑of‑house role delivering an effective, efficient and professional admissions experience for prospective families.

Reporting to the Director of Development & Engagement, the role involves working closely with the school leadership team and the wider community. Strong interpersonal, communication and IT skills are essential, and experience in a similar role within a school environment would be advantageous.

This is a full‑time role, from 8:30am to 4:30pm, Monday to Friday 52 weeks per year with 5.6 weeks paid holiday.

We are offering a competitive remuneration package, with a salary commensurate with experience within the range of £30,000 – £34,000 FTE and other benefits outlined in the Candidate Information Brochure.


Main Duties & Responsibilities

* Lead the admissions infrastructure, systems and processes to ensure an efficient and high‑quality experience.
* Plan and deliver open days and other recruitment events, ensuring they are appropriately advertised and organised, in collaboration with the Director of Development and Engagement and all relevant staff.
* Ensure all prospective parents’ records are held securely on the admissions database, are GDPR compliant and that they receive relevant information in a timely manner.
* Liaise with prospective parents and manage the daily enquiries about Walhampton and admissions and respond in a timely manner.
* Arrange appointments for prospective parents to meet the Head and conduct comprehensive and relevant tours of the School. This includes international admissions where families may be navigating the admissions process remotely.
* Nurture excellent relationships with prospective parents, agents, guardians and feeder schools.
* Organise and co‑ordinate interviews for pupils with the relevant Heads of Department such as Head of Boarding and Head of LSU.
* Arrange prospective pupils’ assessments and compile a full report that contains relevant history and supporting information.
* Manage the new pupil joining process including seeking school references and issuing parent contracts and Terms and Conditions.
* Provide all new parents with the New Parents’ pack and joining information.
* In consultation with the Director of Finance & Operations, review the Parent Contract paperwork and legal requirements annually.
* Manage admissions registers and waiting lists using ITQ Metis.
* Coordinate short‑term placements (1‑3 terms) and full‑time places for international pupils.
* Advise the Head and Director of Finance & Operations on the Admissions Policy.
* Maintain an accurate admissions register and support the Director of Development & Engagement and Director of Finance & Operations on pupil forecasting and the revenue model.
* Produce briefing papers, reports and presentations for meetings where necessary.
* Maintain accurate and up‑to‑date pupil data on MIS, liaising with the Data Administrator where necessary.
* Work with the Director of Finance & Operations and Head of Boarding to meet UKVI requirements and be a Child Student Visa sponsor.
* Work closely with the Marketing department on developing advertising campaigns and influencing marketing strategy based on market intelligence and data.
* Monitor feedback and trends and adapt the admissions process to support continuous improvement.
* Liaise closely with academic and pastoral staff to ensure a smooth and well‑supported transition for new pupils.


What We’re Looking For

* Strong IT skills with experience of database and information management systems such as iSAMS, Google Workspace and Microsoft Office.
* Experience in stakeholder engagement and relationship management.
* Knowledge and awareness of the independent school sector and market trends.
* Experience within an educational or institutional environment (desirable).
* Previous administrative, PA, Registrar or admissions experience (desirable).
* Experience and knowledge of UKVI processes and applications (desirable).
* High standards of literacy and numeracy with excellent written communication skills.
* Bring a genuine understanding of the needs and expectations of pupils and parents.
* Excellent interpersonal skills with the ability to communicate effectively with a wide range of stakeholders including staff, parents, pupils, governors, agents and external bodies.
* Personable, approachable and professional, with excellent customer care.
* Accuracy, attention to detail and a conscientious approach with a commitment to excellence.
* Resilient, discreet and able to maintain confidentiality at all times.
* Culturally competent and confident supporting families from a wide range of backgrounds.
* A high degree of initiative with a systematic, organised approach and strong ability to prioritise workload.
* Flexible, adaptable and comfortable working under pressure while maintaining efficiency and accuracy.
* Enjoy working as part of a team and willing to take on a range of tasks in a busy school environment.
* A positive ‘can do’ attitude and a willingness to learn.
