Join to apply for the Customer Liaison Representative role at Mitie Cleaning & Hygiene Services.

Location: To be mobile to work between both BAE Systems, Warton & Samlesbury. Reports to: Front of House Team Leader. Job title: Customer Liaison Representative (Link Facility).

Purpose: This role provides a high quality service to customers by greeting, welcoming and directing them appropriately. You will be the first point of contact for our clients as they arrive to the building, and you will help maintain a welcoming and safe atmosphere. The role also involves being the Link Users point of contact, reviewing bookings via the kiosk system, and supporting the Team Leader and Supervisors.

Role focus: Deliver high-quality customer service, meet with customers as required, gain feedback, engage in proactive dialogue, and facilitate building visitors and seating planning. You will identify defects, report and coordinate corrective actions, and maintain high standards within the building. A keen eye for detail and the ability to understand and meet customer needs is essential.


Responsibilities

* Meet and greet customers
* User registration
* Manage the Booking System
* Source availability of rooms/desks for customers/groups
* Book desks/rooms for customers/groups
* Respond to the Link shared email inbox
* Manage no-show information daily
* Assist Link users with the Kiosk booking system (how to book)
* Provide for special requirements – ergonomic chairs, etc.
* Support PEEPS – provision of evac chairs when requested
* Query response
* Monitor office consumables
* Maintain updated signage around facilities using templates
* Floor walk and keep the facility tidy; handle dishwashers where installed
* Daily morning and afternoon checks of printers, rooms, and desks
* Control special equipment (Jabra, ergonomic chairs, flip charts, etc.)
* Report maintenance issues
* Assist with set up of AV equipment and troubleshoot technical problems
* Report IT issues to DXC and security issues to Control Room
* Report AV issues to Visavvvi
* Fire marshal and first aid duties as required
* Support continuous improvement activities
* Daily handover to Security (end of day) and issuing of temporary daily security passes
* Familiarise new visitors with building areas
* Escalate booking conflicts and reallocate resources as instructed
* Control security access from reception desk; escort visitors when requested
* Reconfigure furniture and movable walls per booking requirements
* Organise post collection and sign for delivery parcels
* Support Security audits and conflict resolution
* Be the first point of contact for calls and correspondence relating to desk and room bookings
* Support hospitality bookings for deliveries and collection
* Advise redistribution of food across neighbouring outlets based on occupancy
* Top up tea and coffee provisions and keep the area clean and tidy


Qualifications and Experience

* Demonstrated ability to contribute as a team member to achieve positive outcomes and deliver quality service
* Strong organizational and time management skills; able to manage competing priorities and meet deadlines
* Knowledge of Workplace Health and Safety (WH&S) practices and policies
* Proven ability to provide a high level of customer service
* Good interpersonal and communication skills in English (written and spoken)
* Skilled with computers; knowledge of Microsoft Office desired but not essential
* Ability to work independently if needed
* At least 2 years of training background or customer service experience is desirable
* Previous knowledge of desk booking systems is desirable but not essential
* Must be able to gain SC clearance
