Our client is a very early stage financial services provider operating in the personal finance and business banking space. They aim to launch their business focusing on credit cards, then expand into personal and business current accounts, and eventually apply for a banking license.

The role of the Executive Assistant / Office Manager
The Office Manager/Executive Assistant will coordinate office administration and procedures, ensuring organizational efficiency, effectiveness, and safety. They will provide high-level administrative support to the Managing Director and occasionally to the future Board of Directors.
* Manage office organization, daily reception operations, liaise with IT support, oversee project management, ensure deadlines are met, and handle company documents securely and confidentially.
* Coordinate calendars, schedule meetings, handle correspondence, and manage HR matters, acting as a liaison between management and staff.
* Perform all duties professionally, adhering to policies and guidelines.
Duties & Responsibilities
The main responsibilities include, but are not limited to, the following. This outline is subject to review and modification based on business needs, with training provided as appropriate.
Main Duties
* Organize office operations ensuring compliance with Health and Safety and GDPR regulations.
* Maintain effective electronic and physical filing systems, develop data management procedures, and oversee data protection and record retention.
* Collaborate with IT support for office efficiency, hardware/software procurement, and project updates.
* Manage company website and PR, ensuring content is current.
* Update social media accounts regularly with company activities.
* Understand and utilize the Property Management System (Qube) for internal reporting and data analysis.
* Manage office supplies, liaising with suppliers for timely replenishment.
* Handle recruitment, onboarding, training, and employee record maintenance, including employee handbook updates for compliance.
Administrative Duties
* Schedule appointments and meetings, resolving diary conflicts.
* Attend meetings, take minutes, and circulate them.
