Role Description
This role involves full-time onsite working in a showroom and office, where the candidate would be working under and reporting regularly to the Head of UK Sales at Dormeuil UK Ltd. This role requires high-level administration covering the processing of client orders, customer support, sales enquiries in addition to other aspects of organisational and administrative support. Showroom and office management, ensuring the smooth and efficient running of the Dormeuil UK branch in London.
Qualifications
· Welcoming all visitors to the showroom, answering all telephone calls, managing in person and electronic/telephone enquiries.
· Main point of contact for the business, liaise with outsourced workers (e.g. couriers, cleaners, contractors etc). Facilities admin; liaise with contractors to maintain the showroom/office space, scheduling and managing the repair and maintenance processes with the building management.
· Maintaining the appearance of the showroom and office, managing cleaners, ensuring they know what needs doing and ensuring quality.
· Oversee the smooth running of the showroom and office managing its daily operations, ensuring a welcoming and client-facing environment.
· Showroom schedule management for client appointments. Handle client communication via phone, email follow ups, scheduling and confirming appointments in the Dormeuil UK showroom.
· Diary / shared team calendar management to ensure the smooth running of the office and its daily operations.
· Business finance administrative support – ad hoc processing of payments, ad hoc raising invoices for client orders and miscellaneous invoices for the business. Compiling of monthly financial documentation & reports, bank and company credit card statement reconciliations to provide administrative support to the business's finance department.
· Organisation of post, physically receive and distribute daily parcels.
· Manage branch databases - all data entry and updates for sales analysis reports, transport cost reports, etc.
· Responsible for delivery arrangements, including exports for all shipments of fabric samples, answering Customs queries and resolving issues/delays, keeping clients updated and informed.
· Ensuring showroom and office supplies (marketing materials, stationery, refreshments, cleaning supplies etc) are maintained and regularly stock checked.
* Implement and maintain effective office processes and procedures. Manage all data entry and updates for the business's handbook.
