Position Statement
The Primary Care Scheduler cordially and efficiently receives patient phone calls to ascertain and manage the patient’s needs while maintaining provider’s schedules in an effective manner.
Key Responsibilities:
* Answers telephones, takes, and relays accurate messages via electronic health record system, and complies with requests according to established policies and procedures.
* Performs call confirmations for appointments.
* Updates schedules, books appointments, and coordinates appointments with other disciplines as needed.
* Reviews “no shows” and “missed appointments” and notifies patients by phone and/or letter. Calls patients to reschedule any missed appointments.
* Manages patients’ requests for immunizations, and med lists, etc. Inputs non-clinical data at the request of nursing staff and manager.
* Sends outgoing faxes and distributes incoming faxes and mail.
* Assists with patient mailings and prepares outgoing mail. Prepare normal lab and x-ray result letters to patients.
Knowledge, Skills, and Abilities:
* High school diploma required.
* Possesses excellent organizational skills paired with verbal written and communication skills.
* Demonstrates strong interpersonal skills and capability to work effectively with all staff.
* Demonstrates excellent customer service skills.
* Shows competency in computer skills.
* Understands medical terminology.
* Health care setting experience in a clinic setting is preferred.
