Office Manager & Executive Assistant

We’re looking for an Office Manager & Executive Assistant to help keep our fast-paced Complex Care HQ running like clockwork and provide key support to our Managing Director.
About the role
This is a busy, varied role at the heart of our organisation reporting directly into our Managing Director. You’ll be responsible for the day-to-day operation of our brand new Complex Care Head Office premises and to provide support to additional Ocean Healthcare offices as necessary, including effective ‘front of house’ management and supplier relationships. Additionally, this role will provide administrative, diary and company-wide small project support directly for the Managing Director to ensure that specific tasks and activities are completed correctly and on time.
This is a fully office-based role and would suit someone who thrives in a fast-moving environment where no two days are the same.
What you'll be doing
* Ensuring the smooth, safe and effective running of our Complex Care Head Office
* Managing consumables, budgets and facilities - including supplier and contractor relationships
* Creating and maintaining clear systems to help our offices run efficiently
* Booking and managing use of desks, meeting rooms and training space
* Taking delegated ownership of the Managing Director’s diary and meeting schedule
* Providing administrative support, minuting key meetings and tracking actions
* Leading or supporting small company-wide projects as required
What we're looking for
* A highly organised problem-solver with great attention to detail
* Someone with outstanding communication and time-management skills
* Confident using Microsoft Office (Outlook, Excel, Word, PowerPoint)
* Experienced in providing professional ‘front of house’ service
* Proactive, emotionally intelligent and able to work with discretion
* Understanding of public relations, employee engagement and wellbeing methods
* Someone who enjoys being part of a growing business and high-performing team
What this role is not
This role is not suitable for someone looking for remote or hybrid work. You’ll need to be based full-time in the office and able to manage multiple responsibilities at once, often to tight deadlines.
