Fixed Term - 12 Months

Post split between West Port, Edinburgh and Royal Infirmary, Edinburgh

Please note that the successful candidate will occasionally be required to travel to other locations to support specific events, meetings and training courses across Lothian.

Post Detail:

We are seeking an enthusiastic self-motivated individual with exceptional team working skills to provide a comprehensive range of administrative, organisational, analytical and project management support duties. This role will be based between West Port, Edinburgh and Royal Infirmary, Edinburgh supporting a number of key directorate work programmes.

The role will support two main processes – Data support and analysis and directorate engagement.

A key function of this post is to support the Quality Directorate through the production of routine data reports and analysis;

1. This will support several of our improvement teams in acute division and mental health.
2. The successful candidate must have an ability to analyse and present data, using pre-defined templates within Microsoft Excel, MS Word and MS Powerpoint.
3. Experience of managing, maintaining and interrogating spreadsheets
4. Ability and experience of formatting and publishing documents to a high standard is essential to the role.

A key function of this post is to coordinate and support the directorates staff engagement activities. Reportable to members of the senior team, this includes;

5. Lead the staff communication and engagement group meetings – through logistics, administrative support, robust action tracking and agenda setting.
6. Develop and execute plans for regular engagement activities – including quarterly away days & monthly huddles – through logistics, administrative support, designing activities and securing speakers. Assisted by others on the day, this role will take a lead role in the planning and preparation for these important activities as well as some execution at events. It will be important for this candidate to work with others to design engaging and varied sessions.
7. Working with leadership team, coordinate development of action plans for iMatter, taking forward ideas and updating directorate on progress.
8. Develop calendar of team building events.
9. Presentation and updates at team events on behalf of communications and engagement group

Experience:

Candidates will be educated to Degree level or have an equivalent level of work experience in a similar role, preferably within the NHS or other similarly large organisation.

Applicants must have proven advanced administrative and project experience.

Effective organisational skills are key as the post will involve planning, organisation and supporting a variety of events.

The successful candidate must have well developed interpersonal skills and be able to communicate effectively and appropriately with staff at all levels within the organisation. A flexible approach to work and an ability to work well within a small team is also essential.
