Job Description and Person Specification

Post Title :Events Co-ordinator

Grade : SCP 17 – 21 (£31,022 - £33,143)

Hours of work : 37 hours per week (A level of flexible working may be offered within the role. Attendance at events will involve some evening and weekend working).

Location : Newark Town Hall

Pension : Local Government Pension Scheme

Job Purpose

To act as the lead officer in the organisation, co-ordination and delivery of a variety of typically outdoor events held in Newark albeit a level of involvement in managing and curating indoor events held in Newark Town Hall will also form part of the role.

The role will involve delivering established events such as Newark on Sea Urban Beach, Newark Festival, Sunday brass band concerts, Armed Forces Day and the annual Christmas Lights Switch On.

Other new events may also be developed and delivered at the direction of the Council.

The role will also involve working in partnership with other local event providers including but not limited to Newark & Sherwood District Council, Beaumond House, Childrens Bereavement Centre, We are Newark and Newark Creates.

Principal Duties & Responsibilities

* Organise in consultation with colleagues, councillors and external partners a range of existing and new events.

* Prepare Event Safety Management plans for all Town Council events including submission to the Safety Advisory Group as necessary.

* Attend the local Safety Advisory Group meetings and all pre-event meetings as required.

* Provide effective promotion of Events including the use of various communication tools and especially all forms of social media.

* To secure where possible appropriate grants to help with the delivery of events.

* To act as event manager during an event for certain key events.

* Carryout data capture and post event evaluation to assist with the determination of event impact on footfall, visitor returns and relevant post grant submissions.

* The nature of the work will involve the post holder carrying out work outside of normal working hours, as part of the normal contracted hours.

* Develop and sustain working relationships with all internal and external stakeholders.

* Undertake any other duties which may reasonably be regarded as within the nature of the duties and responsibilities/grade of the post as defined, subject to the proviso that normally any changes of a permanent nature shall be incorporated into the job description in specific terms, after consultation.

Person Specification

Experience and Qualifications

Essential

A minimum of 2 years' experience of organising events.

Desirable

Understanding of Local Government governance structures.

·Experience of event safety management procedures.

· A recognised event management qualification.

· Experience of providing reports to senior management.

· Experience of managing event budgets.

· Experience of income generation from event activity.

· First Aid Trained and DBS checked.

Knowledge and Skills

Essential

* Excellent general IT Literacy including use of internet and Microsoft Office: Word, Excel, PowerPoint, Access, Outlook and Website Maintenance

Desirable

* Ability to use effectively; all forms of social media
* Knowledge of Event Safety Management including Martyns Law, Road Closures and Purple Guide procedures.
* A knowledge of Arts Council and other events and cultural grant funding schemes.
