Overview

If you're an enthusiastic and pro-active project manager/project support officer looking for a role working across a varied programme of work to improve cancer services for our patients, we encourage you to apply for the Deputy Service Transformation Manager post. You will join the Service Transformation Team for the Networked Services division at The Christie, who are the support function for all services in the division (Medical/Clinical Oncology, Haematology, Pharmacy, SACT, Radiotherapy, Outpatients, Medical Physics & Engineering, Nursing). Your role will be to support and run service improvement projects across all services.

Day to day work is varied across the programme of work and projects are often interlinked, so you must have great attention to detail, be confident in managing your own tasks to specified timescales and be proactive to keep the projects moving at pace. The post holder will need experience in managing several projects simultaneously, be a strong communicator and know how and when to escalate to the Transformation Lead. You will report to one of the Transformation Leads and deputise for both Transformation Leads as necessary. The team is headed up by the Divisional Transformation Manager.


Responsibilities

* Completion of project documentation and reporting, creating and amending process maps (often live via MS Teams or face to face).
* Organising and attending small/large scale meetings, leading project meetings, presenting to stakeholders, taking meeting notes and distributing post meeting actions.
* Conducting pre/post implementation data analysis, arranging engagement events and/or training/education sessions, deputising for the Transformation Leads and providing detailed feedback/updates.
* Providing support to the division with other ad hoc tasks as required.
* Responsibility for Physical and Financial Resources and General Administration; provide support for the development of PIDs/QIAs as required.
* Production and maintenance of Project/Programme Plans and reports for presentation and approval at relevant Boards.
* Manage input from broad, multi-disciplinary trust-wide programmes and teams to lead and support the development and delivery of meetings and associated reporting papers.
* Assist Divisional, Operational and Transformation Managers in administrative duties required for project delivery, including managing changing demands and pressures that may impact delivery.
* Responsible for project governance documentation and templates as set by the Divisional, Operational and Transformation Manager or Finance.
* Produce clear visual materials and project documentation for reports, local briefings, workshops and meetings for internal and external presentations.
* Maintain and develop a project administration system to track actions and deliver on time; refine project and programme tracking tools as necessary.
* Produce routine and complex reports and presentations that may contain medical, technical or financial terminology, using Trust data; establish/update spreadsheets and databases as required.
* Produce reports containing sensitive change and performance data; create, update and present PowerPoint presentations.
* Undertake short- and long-term planning to support programme governance; lead and support departmental process improvement initiatives.
* Coordinate communications planning for projects; ensure procurement and schemes of delegation requirements are adhered to as stated in local standing financial instructions.
* Deputise for Divisional Transformation Lead(s) and Manager where required.
* Utilise project management methodology and toolkit to deliver against objectives (time, cost, quality, risk management, benefits realisation, milestone reviews, evaluation).
* Lead and coordinate project teams to deliver functionality and benefits within agreed timescales.
* Produce high quality, audience-specific management and project reports and plans; establish and chair groups necessary to support delivery, including regular communication, planning and scheduling of meetings, agendas, papers, action logs and risk/issue registers.
* Attend, present and support at Trust meetings to raise awareness of the project objectives and requirements.
* Demonstrate leadership to build a cohesive team while providing constructive challenge where needed to achieve results.
* Develop and manage project plans, risk/issue logs, benefits plans and communication plans with robust strategies for success.
* Lead or support process mapping and detailed information analysis for specific projects/reports.
* Monitor and evaluate changes in practice through high-quality data collection using electronic and paper systems as required.
* Organise project completion activities including post-implementation review and transfer of information/knowledge.


Qualifications and Experience

* Experience managing multiple projects simultaneously; strong communication and stakeholder engagement skills.
* Understanding of project management methodology and ability to use the Trust's project management toolkit.
* Experience in producing reports and presentations containing technical or financial information.
* Ability to work autonomously, prioritise workload and align work to strategy, with a proactive approach to improvements.


Other Duties

Be responsible for keeping confidential information secure, adhering to Christie policies, maintaining flexibility to meet targets and undertaking any other duties consistent with the grade and responsibilities of the post.
