Job Description
As a Program Coordinator, you will be responsible for providing administrative and operational support to various projects and programmes, ensuring their smooth and efficient delivery. You will work closely with project managers, senior executives, and other stakeholders, and contribute to the overall success of the organisation.
You will be responsible for following areas:
Coordinate & assist with the following outputs across all teams and sub teams, including but not limited to the following coordination functions:
1. Working Group Events & Summits
2. Training Events Administrative Support
3. Stage Gate Project Handovers - coordination
Admin support across
4. Budget admin support
5. Contract admin support
6. Purchase admin support
7. Invoicing admin support
8. data / info collation for internal reporting.
Bench reviews & bench expansion - admin support
Coordinate and deliver the following administrative functions across all functions directed teams and sub teams, including but not limited to the following functions:
9. Assist with on-board new members of the team
10. Manage monthly communications and newsletter
11. Support Tool maintenance, version control and access
12. Team Directory
13. Team Calendar, & Groups etc
14. Program Folder & File management
15. Weekly FTE Meetings
16. Weekly FTE Action Item Trackers
17. Weekly All Teams Meeting
18. Dashboards
Qualifications
Essential criteria
19. Relevant qualification in business administration, project management, or a related field
20. At least two years of relevant experience in a similar role, preferably in a consultancy or professional services environment
21. Excellent communication, interpersonal, and organisational skills, with the ability to work independently and collaboratively with various teams and stakeholders
22. Proficiency in Microsoft Office applications, especially Word, Excel, PowerPoint, and Outlook, and familiarity with other tools and software such as SharePoint, Teams, and Visio
23. A proactive, flexible, and problem-solving attitude, with the ability to prioritise and manage multiple tasks and deadlines
24. A keen interest in learning and developing new skills and knowledge
Desirable
25. Experience of working on projects or programmes in the construction, infrastructure, or natural resources sectors
26. Knowledge of project management methodologies, tools, and best practices
