Key activities/responsibilities
Marketing
* Respond to queries in the early careers inbox and escalate where appropriate
* Assist with administering arrangements for and attend law fair events across the country and other external recruitment events, including virtual events
* Assist with the administration of the early careers social media accounts
Recruitment
* Assist with the set‑up of all assessment centres
* Liaise with applicants regarding their application
* Organise all Training Contract interviews
* Assist with the administrative process and paperwork around Training Contract offers
* Assist with the logistical organisation and facilitation of all open days, work experience programmes and vacation schemes
New Joiner Preparation
* Produce relevant new employee paperwork, ensuring returned documents are logged and tracked
* Liaise with our employee screening provider, Vero, to ensure pre‑employment checks are completed.
* Assist with the full set up of employees on all internal systems
* Assist with the arrangement of any meetings/events with future employees
Trainee Induction
* Assist the Early Careers team with the organisation and facilitation of employee induction for new trainees and solicitor apprentices
* Organise specific logistics including room booking, catering requirements and training materials
* Responsible for the production of new starter induction folders
Secondments
* Prepare secondment‑related paperwork for trainees and monitor and file returned paperwork
* Co‑ordinate the pre‑secondment medical questionnaire process
* Enrol trainees in language lessons
* Hold de‑brief meetings with trainees on return from secondment
Qualification and SRA Admission Process
* Compile trainee appraisal forms and appraisal summaries
* Arrange all NQ interviews and assist with notetaking at NQ interviews as required
* Process expenses related to the qualification and admissions process
* Prepare NQ offer letters
* Prepare paperwork for any trainees leaving the firm and process all leaver actions
* Update the HR database to reflect qualification of trainees
Training
* Assist with the logistical organisation of the trainee skills programme including booking trainers, in collaboration with the Learning & Development team
* Send out surveys to the trainees after each session and share the feedback with the L&D accordingly
General Administration
* Process any expense claim forms
* Distribute self‑certification sick forms to employees as required and ensure they are returned
* Update Cascade with employee information, including holiday and sickness records
* Produce ad hoc letters for current and future employees, including salary review letters and reference letters
* Carry out regular archiving and deletion of data to comply with GDPR
